The Events Specialist executes events that strengthen attorney relationships, support practice group development, and enhance firm culture. This role focuses on flawless tactical execution of events and the ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment while maintaining professional standards across all touchpoints.
Responsibilities
  • Event Execution:
    • Execute end-to-end event logistics including venue research and selection, vendor coordination, contract processing, registration management, on-site production, and post-event follow-up.
    • Manage event production elements: run-of-show development, branding implementation, audio/visual coordination, attendee communications, and materials preparation.
    • Maintain registration systems, create attendance reports, and ensure accurate event documentation.
    • Serve as primary support on flagship events working under Associate Director's direction.
  • Vendor and Resource Management:
    • Develop and maintain relationships with venue contacts and event vendors across New York and key domestic markets.
    • Build and maintain venue database for ongoing planning reference.
    • Research new venues and present recommendations to Associate Director based on event requirements.
    • Coordinate promotional materials procurement and inventory management.
  • Project Management:
    • Use project management tools to track timelines, budgets, deliverables, and stakeholder communications.
    • Develop detailed event schedules, run-of-shows, and coordination documents.
    • Ensure compliance with firm policies and venue requirements.
    • Process vendor invoicing and maintain budget tracking documentation.
  • Collaboration:
    • Partner with Business Development, Marketing & Communications (BDMC) team members and Firm Business Services to deliver cohesive event experiences.
    • Communicate effectively with attorneys and staff at all levels.
    • Support Associate Director in implementing process improvements and best practices.

Qualifications
  • Experience:
    • 3-5 years in event planning, preferably in professional services or hospitality.
  • Education:
    • Bachelor's degree in Marketing, Communications, Business, or Hospitality Management.
  • Technical Skills:
    • Proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
    • Experience with event platforms (Cvent, BeaconLive, Foundation, InterAction).
    • Familiarity with AI tools to enhance workflows, automate processes, and improve decision-making.
  • Core Competencies:
    • Exceptional organizational and project management skills.
    • Strong written and verbal communication abilities.
    • Ability to prioritize multiple projects under tight deadlines.
    • Resourceful problem-solver who works independently and collaboratively.
    • Professional demeanor with discretion and judgment.
    • Familiarity with New York City venues preferred.
  • Logistics:
    • Flexibility for extended and irregular hours with domestic travel to support off-site events.

This position will require physical presence in Proskauer's offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm or as business needs require). The anticipated compensation for this position is $90,000-$110,000. The actual salary offered will be based on a number of factors, including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
