Job description

Responsibilities

The Project Coordinator, AI Implementation supports the successful implementation and adoption of AI solutions across the organization. This is a full time position within AI Initiatives. The successful candidate will partner with business leaders and cross-functional teams to help keep AI initiatives organized, on schedule, and effectively communicated.

  • Coordinate day-to-day activities supporting the organization's AI implementation initiatives.
  • Schedule and coordinate project meetings, prepare agendas, capture meeting notes, and track action items.
  • Maintain project plans, timelines, project documentation, and status reports.
  • Track project milestones, deliverables, dependencies, and follow-up items.
  • Coordinate communications between project stakeholders and business partners.
  • Organize and maintain project documentation, templates, training materials, and shared resources.
  • Support the planning and coordination of AI demonstrations, training sessions, and user adoption activities.
  • Prepare presentations, reports, and project updates for leadership.
  • Identify opportunities to improve project coordination and administrative processes.

Qualifications
  • 3+ years of project coordination or operations support experience.
  • Exceptional organizational skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and follow-through.
  • Proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, and PowerPoint.
  • Ability to build strong working relationships across departments.
  • A proactive, collaborative, and solution-oriented approach.
  • Experience supporting change management or user adoption initiatives for new systems or tools is preferred.
  • Experience with project management tools is preferred.
  • Experience with prompt engineering and context engineering across AI tools such as Claude, ChatGPT, Gemini, and Perplexity is a plus.

Compensation:

The anticipated base salary range for this position is listed below. In addition to a competitive base salary, you will be eligible to receive discretionary bonus incentives and a comprehensive benefits package.

Anticipated base salary range: $100,000+

Actual base salary within the anticipated range will be determined by several components including but not limited to the individual's experience, skills, qualifications, and market factors.
