Job description

Position Summary
Prometheus Federal Services (PFS) is a trusted partner of federal health agencies. We are seeking an experienced Project Manager to support evaluation of a Federal Healthcare Agency’s organizational structure, programs, processes, and knowledge management practices. Working side by side with the Program Manager, the Project Manager will own day-to-day execution across every task area — managing the technical approach, setting priorities, coordinating client and stakeholder activity, and driving performance and quality assurance. The Project Manager will maintain the Project Management Plan, drive project reporting, and ensure every deliverable is tracked, on schedule, and ready for Government review.

We are looking for a detail-oriented, PMP-certified Project Manager with hands-on experience running the operational backbone of a federal consulting task order — deliverables tracking, scheduling, meeting logistics, and status/financial reporting. This person keeps a multidisciplinary team on schedule and on budget, identifies potential risks early and creates mitigation strategies, and has experience being the day-to-day point of contact for project leadership.

Essential Duties & Responsibilities
Reasonable Accommodations Statement

To succeed in this job, an individual must be able to satisfactorily perform each essential duty. Reasonable Accommodations may be made to enable qualified individuals with disabilities to perform essential functions.

Day-to-Day Execution & Coordination
  • Manage day-to-day execution of deliverables across all SOW task areas and workstream leads, working alongside the Program Manager to set priorities and coordinate client/stakeholder activity
  • Schedule, facilitate, and/or participate in Government meetings (kickoff, bi-weekly status, monthly progress, and other project/coordination meetings) and prepare associated agendas and materials

Schedule, Reporting & Deliverables Management

  • Maintain and update the Project Management Plan (PMP), Integrated Master Schedule (IMS), and Work Breakdown Structure (WBS) throughout the period of performance
  • Prepare and deliver Bi-Weekly Status Reports and Monthly Progress Reports, covering task status, deliverable status, milestones, issues, risks, and planned activities
  • Track all deliverables against acceptance criteria and due dates, ensuring drafts are submitted with sufficient lead time
  • Prepare and distribute meeting minutes for kickoff, bi-weekly, monthly, and other Government meetings within required turnaround times

Quality Assurance & Risk Management

  • Support the Quality Control Plan by reviewing deliverables prior to COR submission, ensuring compliance with general acceptance criteria and Section 508 requirements
  • Maintain the risk register, track mitigation actions (including equipment and mandatory training compliance), and escalate emerging risks to the Program Manager and COR

Financial & Administrative Coordination

  • Support invoice preparation and validation
  • Maintain personnel rosters, non-disclosure agreements, and background-investigation/PIV tracking in coordination with the Program Manager and corporate security team

Minimum Qualifications

  • Bachelor’s degree required; Master’s degree preferred
  • 6+ years of experience managing federal government projects or task orders, including at least 3 years in a Project Manager or similar operational-lead role
  • Demonstrated experience with project scheduling, status reporting, and deliverable tracking on Firm-Fixed-Price or deliverables-based contracts
  • Strong meeting facilitation and technical writing skills (agendas, minutes, status/progress reports)
  • Authorized to work in the U.S. indefinitely without sponsorship.
  • Ability to obtain public trust.

Preferred Qualification

  • PMP certification strongly preferred (or equivalent)
  • Prior experience supporting HHS, its subagencies, or another federal health/regulatory agency
  • Experience supporting organizational assessment, program evaluation, or business process improvement engagements
  • Working familiarity with FAR/HHSAR administrative and reporting requirements
  • Experience coordinating integrated project teams that include subcontractor personnel
