The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

This position reports to the Director of the Institute for Music Leadership and provides essential programmatic and administrative support for the IML's operations and initiatives. Working in close collaboration with the Director and Assistant Director, the Program Manager coordinates and manages key operational functions including grant administration, event and program logistics, the Eastman Gig Service and Job & Opportunities Board, student worker oversight, and departmental financial processing. The role ensures the smooth day-to-day functioning of the IML office and contributes to the effective delivery of programs and services that support Eastman students' professional development and career readiness.

ESSENTIAL FUNCTIONS

General Administrative Support

  • Provide general office support for the Institute of Music Leadership; answer routine questions regarding logistics and other questions regarding any of IML's programs; manage the office calendar and support/produce routine correspondence, such as submissions to newsletters; coordinate any necessary supplies for events, office, etc.; work with Director to manage office budget.

Grants

  • Manage grant processes for various programs, including Paul R Judy Center for Innovation and Research grants, IML Mentorship and Faculty Departmental Grant, and ALP Special Opportunities Grants; provide marketing and recruitment services to generate interest and applications for all grant programs; provide guidance to applicants throughout the application process; work with awardees and offices across campus to provide logistical support in processing awards, reimbursements, and payments in a timely manner; ensure accurate record-keeping and documentation for the various grant programs.

Program and Event Management and Support

  • With input from IML Director and Asst. Director, manage, plan, and implement programs, including IML special guest speakers, workshops and events for students and faculty, and other related activities; manage logistics of events; implement and support internal and external marketing efforts and associated communications; work with ESM Finance to produce guest speaker/presenter contracts and oversee event budget; oversee post-event evaluations, as necessary.

Gig Service and Job & Opportunities Board Support

  • Manage the Eastman Gig Service and Job and Opportunities Board; provide appropriate training and support for students and community members; serve as the liaison between IML, the ESM Communications Web Team, and ESM Technology & Media Productions to maintain system; lead marketing efforts to ensure students musicians and community members are aware of this service and available opportunities; support community members navigating the gig service website.

Student Workers

  • In close collaboration with the Director and Asst. Director, provide oversite and management of IML student workers, including scheduling and timekeeping to ensure adequate coverage during open office hours; work with IML colleagues to make specific work assignments for students while ensuring appropriate distribution of workload; oversee recruiting for open IML student worker positions, and manage the student application, interview and hiring process.

MINIMUM EDUCATION & EXPERIENCE

  • Bachelor's degree and 2 years relevant experience required
  • Master's degree preferred
  • Demonstrated experience working in and fostering a diverse number of relationships faculty, staff, and student environment, or commitment to do so as a staff member at UR preferred.
  • Must have confidentiality, strong interpersonal, organizational, and computer skills (Microsoft Programs), and an ability to work accurately with details preferred.
  • A background or strong interest in music is preferred.
  • Or equivalent combination of education and experience
