Summary

Performs a variety of high-level administrative and technical functions for the SCI President and SCI President Elect, SCI Executive Committee, SCI Board of Directors, SCIF Board of Directors, Chief Executive Officer, and the Chief Operations Officer. Requires advanced knowledge of executive administrative policies and procedures and a working knowledge of the SCI and SCIF Bylaws.

This job operates in our San Antonio office. This position travels up to 25% of the time, including to the SCI annual convention, site visits, Board Meetings, and any other trade shows or events of interest to or supported by Sporting Conservation International.

All applicants should demonstrate an understanding of, and commitment to, hunting as an essential part of biologically sound and ethically responsible international wildlife management. The ideal candidate will have an existing knowledge of SCIโ€™s current programs and mission and be passionate about hunterโ€™s rights.

Responsibilities

  • Full spectrum of high-level administrative support to the CEO, SCI President, SCI President Elect, SCI Executive Committee, SCI Board of Directors, SCI Foundation President and SCIF Board of Directors. This includes calendar management, meeting/event management and coordination, travel coordination, expense report processing, processing of POโ€™s/check requests/grant approvals/contracts, Convention registration to include comps, seating, travel, and meeting coordination.
  • Oversees the compilation of the Official SCI/SCIF Roster. Prepares board mailing, requests updated data and information, verifies accuracy of membership database, collaborates with incoming committee chairs on new committee set up, coordinates the exportation of required data, and editing proofs.
  • Responds promptly to staff and volunteer needs. Serves as a resource to SCI and SCI Foundation Board and committee members by providing information, answering questions, filling requests, and providing resolutions.
  • Oversees Completes production, assembly, distribution, and tracks responses for the annual board mailings containing the Conflicts of Interest Policies, Certificate of Disclosure and other mailings as assigned.
  • Assists with a variety of additional Convention-related tasks including, but not limited to, staff and VIP registrations, hotel reservations, comp requests, booking travel, and meeting coordination. Must be present at the SCI Foundation booth to assist with set up and break down, to interact with potential donors, field inquiries, provide basic information about mission-related programs, and pass information on to appropriate person for follow up. There will be some cash handling from sweepstakes ticket sales and/or donations in the booth.
  • Assists in preparation for SCI Board of Directors Meetings.
  • Document Management.
  • Travels to/attends SCI Board of Directors Meetings.
  • Assists in preparation for event seating, Presidentโ€™s cocktail reception, Past Presidents and First Ladies luncheon and Shikar Safari events.
  • Works collaboratively with corporate counsel to maintain SCI/SCIFโ€™s intellectual property and any corporate legal matters as assigned.
  • Schedules, travels to/attends, confirms and communicates all Finance Committee conference calls along with a call for agenda items. Gathers all agenda items, prepares draft agendas, compiles and copies agenda for meetings.
  • Perform other related duties as assigned. Attends meetings, other conventions, and trade shows as appropriate to maintain professional contacts and/or represent SCI.


Qualifications

  • High School Diploma or 3 years of experience in a related field.
  • Associateโ€™s Degree preferred.
  • Background in Event planning preferred.
  • Experience providing support to executives or boards and committees preferred.
  • Valid driverโ€™s license with ability to be insurable on SCIโ€™s policy.
  • Strong problem solving skills
  • Proficient with Microsoft Office Suite software, to include OneDrive, SharePoint, Teams with an ability to become familiar with SCI-specific programs and software.
  • Demonstrated excellence in verbal and written communication skills, interpersonal and customer service skills, organizational skills and attention to detail.
  • Motivation and strong desire to take on new challenges and learn as much as possible
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to adapt to the needs of the organization and employees.
