Position Summary

We are seeking a detail-oriented and highly organized Client Services Associate to support our financial advisors with daily operational and administrative tasks. This individual will play a critical role in ensuring a smooth client experience—from preparing for meetings to supporting account operations and follow-up.

Key Responsibilities

Client & Advisor Support

  • Schedule client meetings and manage advisor calendars

  • Prepare materials, reports, and documentation for client meetings

  • Assist advisors with follow-up action items after meetings

  • Build and maintain strong, trustworthy client relationships by delivering responsive, high-quality service

Account Operations

  • Support new client onboarding

  • Open new accounts across multiple custodians

  • Process various types of paperwork, forms, and required documentation

  • Handle account maintenance requests, including beneficiary updates, address changes, and other service items

  • Process money movement requests (transfers, distributions, contributions, etc.)

External Communication & Coordination

  • Communicate with custodians and external financial institutions such as annuity and insurance carriers

  • Track and follow up on outstanding paperwork or service requests

  • Maintain accurate client records and ensure compliance with firm and industry standards

Qualifications

  • 2–5 years of experience in financial services, wealth management, or a related client service role (preferred)

  • Strong understanding of investment accounts, custodial platforms, or advisor support operations (preferred)

  • Excellent organizational skills with strong attention to detail

  • Ability to prioritize and manage multiple tasks in a fast-paced environment

  • Strong verbal and written communication skills

  • Proficiency with Microsoft Office; experience with CRM systems is a plus

  • Professional, positive attitude and a commitment to exceptional client service

  • Bachelor’s degree (preferred)
