Job Title: HR Compliance Advisor
 Number of Openings: 1
 Location: 80 Park Plaza, Newark NJ 07102 (Hybrid: 2 days/week in office)

Hybrid. 2 days/week in office at 80 Park Plaza, Newark NJ | Thursdays and one day flex) but prefers the days in office to align with the manager's schedule.

Schedule: Mon-Fri (9am-5pm EST.)

Will need to pay for parking (Manager can get discount parking for $15). Walking distance from Newark Penn Station.

Occasional travel to other locations, may travel by means of choice

 

Qualifications:

  • Prefer candidates that live in NJ
  • Assist with day to day management of EEO/AA programs and

  • Audit preparedness and educating managers
  • Supporting talent acquisition with compliance questions.
  • Must have ADA & Workplace accommodations background

  • Position is compliance based. Will be serving clients in NY (Long Island) and NJ.

  • Assist manager with client related initiatives.
  • Will be responsible for scrubbing large amounts of data from several different systems and getting it over to external vendors (this is the EEO compliance piece).
  • Manager looking for a strong business fronter and problem solver (particularly in this environment where there is constant change day-by-day).
  • Understanding of basic talent acquisition compliance, hiring workplace compliance and best practices compliance. Comfort with and understanding of ADA, PWFA, FMLA, PUMP Act, NY Law Against Discrimination, NY Human Rights Law.
  • Experience with the workplace accommodation interactive process including manager coaching, risk mitigation, and creative problem solving.
  • Critical thinker who knows how to ask the right questions.
  • Creative problem solver and excellent customer service skills.
  • Must be a strong communicator.
  • EEOC, affirmative action, OFCCP experience familiarity is highly preferred.
  • Must have SAP experience and advanced skills in MS Excel (VLOOKUP, pivot tables), SharePoint
  • Bachelor's degree with 7-10 years' experience required; Manager open to less experience (5+) with Master's degree, preferably in HR, people analytics or 10+ years' experience for candidates with no degree.
  • Interview process will be virtual with manager. A writing sample will be required for candidates selected to interview.

Job Summary

  • Working together with the Sr. HR Consultant - EEO/AA and Sr. Manager, Employee Relations, serve as a subject matter expert and primary liaison for the administration and continuous improvement of the Company's Workplace Accommodations Program and Office of Accessibility Programs initiatives. This role will also complete reporting and ;liase with external vendors regarding Affirmative Action Program and EEO Compliance requirements.
  • Workplace Accommodations Administration (ADA/PWFA/Religious /Lactation) (Primary Focus).

Serve as the day-to-day subject matter expert and first point of contact for all workplace accommodation requests under the Federal and State (NY and NJ) human rights statues, including:

  • Lead and manage the interactive process from intake through resolution, ensuring timely, legally compliant, and employee-centered outcomes.
  • Conduct thorough analysis of accommodation requests, evaluating undue hardship considerations, functional limitations, and available effective accommodations.
  • Draft and manage all accommodation-related correspondence, including acknowledgment letters, medical inquiry letters, determination letters, and denial notices to employees and healthcare providers.
  • Maintain HIPAA-compliant recordkeeping across documentation systems and databases; ensure accuracy, confidentiality, and audit-readiness of all accommodation files.
  • Partner with managers, HR Business Partners, and legal counsel to identify and implement reasonable accommodations, including modified duties, schedule adjustments, leave, and assistive technologies.
  • Monitor open accommodation cases to ensure timely follow-up, reassessment of ongoing needs, and proper closure.
  • Identify trends in accommodation requests and proactively recommend process improvements, policy updates, or training needs.
  • Provide training and one-on-one consultations (virtual and in-person) to managers and HR on accommodation obligations, the interactive process, and documentation best practices
  • Stay current on evolving federal and state accommodation law, including EEOC guidance, ADA amendments, and PWFA regulations.

EEO Compliance & Affirmative Action Program

  • Partner with the Sr. HR Consultant and vendor to develop and maintain required Affirmative Action Plans (VEVRAA and Section 503), including workplace demographic self-audit reports.
  • Develop Action Plans to address underutilization in identified job groups, in conjunction with the Sr. HR Consultant - EEO/AA.
  • Provide AAP training and one-on-one consultations to Leadership and HR on goals and obligations.
  • Partner with vendor to complete EEO-1 and VETS-4212 reporting.
  • Assist with annual NJ compliance initiatives, including the NJ Conscientious Employee Protection Act (CEPA), NJ Gender Equity training, Official Bulletin Board compliance, and invitations to self-identify.
  • Provide compliance guidance to Recruiters and HR on Talent Acquisition hiring matters.

Data & Reporting

  • Fulfill internal ad hoc data requests for labor market data and workforce demographic reporting.
  • Maintain and update accommodation and EEO tracking databases to support reporting and trend analysis.

Core Competencies & Technical Skills

  • Deep working knowledge of ADA, PWFA, Title VII (religious accommodations), Section 503, VEVRAA, FMLA, and EEOC enforcement guidance.
  • Strong written communication skills; experience drafting legally sensitive HR correspondence.
  • Demonstrated ability to manage a high-volume accommodation caseload with attention to detail and confidentiality.
  • Proficiency in SAP SuccessFactors, MS Excel (Advanced), Microsoft SharePoint, Adobe Acrobat.
  • Strategic problem-solving; ability to navigate ambiguous situations and balance legal compliance with employee experience.
