Job description

Job Summary: The Human Resources Coordinator provides administrative and operational support for the Human Resources department throughout the employee lifecycle. This position assists with recruitment, onboarding, employee support, HRIS administration, payroll and benefits coordination, compliance, training, records management, and HR projects. The HR Coordinator helps ensure HR processes are efficient, legally compliant, and provide a positive employee experience while supporting organizational goals.
Essential Functions:
Human Resources Operations:
  • Coordinate recruitment activities, including job postings, applicant tracking, interview scheduling, candidate communications, background screening, and pre-employment requirements.
  • Coordinate onboarding and offboarding processes, including employment documentation, new hire orientation, HRIS setup, I-9/E-Verify compliance, employee record maintenance, and recovery of organizational assets.
  • Maintain accurate employee records and process personnel transactions, including hires, transfers, promotions, compensation changes, leave actions, and separations.
  • Support employee transitions while ensuring compliance with organizational policies and applicable federal, state, and local employment laws.
  • Serve as a primary HR resource by responding to employee questions regarding policies, benefits, payroll, leave administration, and HR procedures, escalating complex matters as appropriate.
  • Support payroll and benefits administration by coordinating documentation, employee communications, benefit enrollments, qualifying life events, and related transactions.
  • Coordinate unemployment claims, workers' compensation administration, employment verifications, leave administration, and other HR operational processes.
  • Prepare reports, maintain HR records, and assist with audits, compliance reviews, HR metrics, and organizational reporting.
  • Escalate employee relations concerns, workplace investigations, and other complex HR matters to the Director of Human Resources.

Training, Compliance & Employee Development:
  • Coordinate required organizational training and monitor compliance with certifications, licenses, fingerprint clearance cards, and other regulatory requirements.
  • Maintain training and compliance records and communicate deadlines for leadership.
  • Support performance review administration, employee development initiatives, accreditation activities, and other compliance-related projects.

Administrative & Operational Support:
  • Maintain HR documents, forms, personnel files, and electronic records in accordance with record retention requirements.
  • Coordinate meetings, orientations, employee events, and HR communications.
  • Manage employee badges, access records, equipment assignments, and departmental supplies.
  • Provide professional customer service to employees, applicants, visitors, and vendors while supporting daily HR operations

Continuous Improvement:
โ€ข Participate in HR initiatives that improve operational efficiency, employee experience, compliance, and consistency.
โ€ข Assist with implementation of new HR programs, technologies, policies, and organizational projects.
โ€ข Remain informed of employment law updates and HR best practices to support continuous improvement.

Work Environment: This position primarily works in a professional office environment across multiple organizational locations. Frequent interaction with employees, managers, applicants, and external partners is required. Regular use of computers, telephones, office equipment, and HR information Systems is expected.
Physical Demands: The employee must be able to communicate effectively, operate standard office equipment, move throughout organizational facilities, and occasionally lift up to 25 pounds. The position requires the ability to sit, stand, walk, and use a computer for extended periods.
Position Type and Expected Hours of Work: Full-time position, Monday - Friday, typically from 8:00 AM to 5:00 PM with occasional schedule flexibility based on organizational needs.
Requirements
(Required)
  • Associate degree in Human Resources, Business Administration, or a related field; equivalent experience may be considered
  • Experience using HRIS systems and Microsoft Office applications.
  • Strong organizational, customer service, and problem-solving skills.

(Preferred)
  • Four (4) years of experience in administrative, HR, recruiting, payroll, benefits, or employee support.
  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • HR certification (SHRM-CP, PHR, or equivalent) or progress toward certification.
  • Experience in a nonprofit or multi-site environment.
