Position Identification

Job Title: Human Resource Assistant

Department: Human Resources

Reports To: Human Resources Manager

Employment Status: Non-Exempt

Supervisory Responsibilities: None.

General Summary

The HR Assistant is responsible for handling a variety of administrative tasks while providing clerical support to the HR Department.

Essential Job Functions

• The HR assistant is responsible for handling a variety of administrative tasks while providing clerical support to the HR department but heavily on the Recruitment tasks

• Prepare or maintain employment records related to events, such as hiring, termination, leaves, transfers, or promotions, using human resources management system software

• Ensure Data integrity in HRIS system

• Assisting HR with the process of recruitment, include vetting candidates, assisting with interviews and issuing offer letter.

• Review employment applications and job orders to match applicants with job requirements.

• Select qualified job applicants or refer them to managers, making hiring recommendations when appropriate.

• Maintain and update human resources documents, such as organizational charts, employee handbooks or di-rectories, or performance evaluation forms.

• Compiling and maintain paper, digital and electronic employee records.

• Explain and enforce company policies, benefits, and procedures to employees or job applicants.

• Maintain FMLA database, employee training files.

• Maintain Student Preceptors such as files, collecting documents, and coordinating schedules.

• Assist with benefits, orientation and general questions

• Coordinating logistics for new hire orientation

• Assist with Administrative portion of new-hire orientation to include I9s, data entry and reporting

• Create and distribute monthly newsletter

Knowledge, Skills, and Abilities

• Must have basic knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiations, and personnel information systems

• Must have knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures

• Must be able to effectively communicate verbally and in writing

• Must be able to effectively manage one’s own time

• Must be able to multitask efficiently by prioritizing activities

• Must have impressive organization skills

• Friendly and personable; adept customer service background
