Job description

Title: YouthBuild & Housing Administrative Assistant

Employment Status: Part-Time, Non-Exempt

Department: Community Development/ Services

Reports To: YouthBuild Program Specialist and Housing Program Manager


Job Summary:

The SEUALG/ SEUEDD YouthBuild & Housing Administrative Assistant provides administrative and clerical support to the YouthBuild and Housing programs. Responsibilities will include assisting participants throughout the application and approval process. This position ensures the accurate collection, verification, and entry of participant information, maintains organized records, assists in scheduling YouthBuild activities, meetings and provides responsive communication between participants, instructors, and staff.

Duties / Responsibilities:

  • Serve as the first point of contact for SEUALG/ SEUEDD YouthBuild and Housing programs by answering phones, greeting visitors, and responding to inquiries.
  • Assist with recruiting participants, completing program applications and verifying eligibility documentation.
  • Maintain organized and confidential participant files in paper and/or electronic formats.
  • Assist with scheduling participant activities, internship responsibilities, and field work in coordination with program staff.
  • Prepare correspondence, reports, and forms as needed for program operations and compliance.
  • Assist with monthly reporting, grant documentation, and submission of required data to funding agencies.
  • Support program staff with purchase orders, and filing of invoices.
  • Perform general administrative tasks such as scanning, copying, mailing, and ordering office supplies.
  • Maintain professional communication with participants, vendors, and partner programs.
  • Attend training and meetings as requested by the YouthBuild Program Specialist, Housing and/ or Program Specialist and Executive Team.
  • Attend all safety training provided or supported by SEUALG/ SEUEDD.
  • Perform other related duties as assigned.

Required Skills / Abilities:

  • Strong organizational and time management skills with attention to detail.
  • Ability to communicate effectively, verbally and in writing.
  • Proficiency in Google Workspace, Microsoft Office Suite (Word, Excel, Outlook) and data entry systems.
  • Ability to handle confidential information with discretion and professionalism.
  • Customer service orientation with empathy and patience when working with the public.
  • Ability to multitask and work effectively in a team environment.
  • Develop understanding of SEUALG/ SEUEDD YouthBuild program in full compliance with all applicable contractual requirements and with all applicable SEUALG/SEUEDD policies and procedures.
  • Regular and consistent attendance
  • Must be bondable.

Education / Experience:

  • High school diploma or equivalent required; associate degree in business administration, social services, or a related field preferred.
  • Minimum of two years of clerical, administrative, or customer service experience, preferably in a social services or housing assistance setting.
  • Experience working with low-income households or federal/state assistance programs is a plus.
  • Valid Utah driver's license and an acceptable driving record required and maintained throughout employment.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to lift up to 20 pounds occasionally (files, office supplies, etc.).
  • Frequent use of hands and fingers for typing, filing, and data entry.
  • Must be able to communicate clearly in person and over the phone.
  • Comprehensive drug screen and background check will be completed prior to hiring.
