Job Summary & General Information
The City of Alpharetta Recreation, Parks and Cultural Services Department is seeking Arts Center part time nights and weekends Customer Service Representative to support Arts Center & Spotlight Stage; to engage in the arts and communicate with knowledge and passion about the Cultural Services programs and events; offer guidance and support in all clerical aspects of the front desk as well as many other aspects of the facility and programs. This position is primarily 1-2 shifts during weekdays and Saturday/Sunday shifts based on need, including evenings.
Job Description
Under general direction of the Cultural Arts Supervisor or Cultural Services Manager, performs a variety of clerical, customer service, art, and technical related duties including front desk and art exhibit greeter, marketing and art related projects assistance, data entry, public contact work in support of the Cultural Services Division, as well as technical support for Spotlight Stage performances. .
Essential Job Functions and Responsibilities
The Arts Center Front Desk & Spotlight Stage Assistant will be responsible for:
  • Performs customer service functions; provides assistance and information to the general public relating to department programs, events, or galleries;responds to routine questions, requests for service.
  • Overseeing all studio classes and operations for the day and ensuring Instructors, students, renters, and guests have a pleasurable experience.
  • Enters in person registrations into computer and receives and receipts payment of cash, check or charges. Adheres to City and department policies and procedures related to cash handling, purchasing procedures, and registration. Utilizes Microsoft Office or other software programs, such as ActiveNet and others.
  • Performs various clerical duties such as answering phones, relaying messages, typing, scanning, faxing, photocopying, processing mail, ordering office supplies, maintaining departmental records and files. Daily printing of rosters, etc.
  • Performs light housekeeping including but not limited to picking up studios between programs, picking up trash, replacing paper goods, sweeping studios, keeping kitchen areas clean.
  • Ensuring that ADA & CDC guidelines for safety and sanitation are maintained both during and between classes and gallery visits to ensure public safety at all times.
  • Monitors the facility by supervising physical facility and grounds; monitors programs, classes, and participants to ensure safety of participants; prepares classrooms for programs.
  • Under direction of Supervisor, prepares marketing materials, such as social media ads, flyers, and posters.
  • Assists Cultural Services staff with projects, programs, and events as needed with a desire to learn and work in an artistic environment where art and culture is the focus.
  • Performs basic troubleshooting of technical equipment at Spotlight Stage.
  • Follow procedures to unlock and lock Spotlight Stage venue as appropriate.
  • Performs other duties as assigned.

Minimum Qualifications
  • 1-2 years previous experience and/or training that includes an office; art center; or any equivalent combination of education and specialized training which provides the necessary knowledge, skills, and abilities for this position.
  • Training in an art field preferred, but not necessary.
  • Modern office methods, practices, procedures and equipment including computers and related software applications.
  • Customer service techniques, practices and principles.
  • Basic computerized data processing principles
  • Handle a diverse set of customer comments, inquiries and complaints in a polite and professional manner.
  • Deal with a variety of interpersonal styles and personalities in an appropriate and diplomatic manner.
  • Work independently, exercising judgment and initiative.
  • Demonstrate a willingness to learn new tasks.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of the work.
  • Must be willing to work varying hours, including evenings, weekends and/or holidays assigned.
Pre-Employment Requirements
  • Applicant must clear a criminal background check.
  • Applicant must pass a mandatory drug test.
  • Hired applicants must possess a valid certificate of course completion for First Aid training that includes Cardiopulmonary Resuscitation (CPR) for Children and Infant, first aid, and AED. This training must be from the American Red Cross or American Heart Association. The City of Alpharetta will offer a CPR course during the week of camp training for all those who need this certification.
