Job description

We are seeking an exceptional Executive Administrative & Personal Assistant to provide high-level administrative, personal, household, and family support to an executive and their family.

This is a high-trust position requiring maturity, discretion, sound judgment, impeccable professionalism, strong listening skills, and the ability to anticipate needs before they become problems. The ideal candidate is confident without being overbearing, polished without being pretentious, humble enough to handle any task, and capable of moving seamlessly between executive responsibilities, family needs, household errands, and unexpected challenges.

Core Qualities

· Exceptional communication skills — especially listening. You must be an excellent listener who understands what is being said, what is not being said, and what is expected.

· Excellent judgment and discernment. Able to read a room, understand personalities and situations, and know when to speak, when to listen, when to laugh, and when to remain quiet.

· Professional presence. Must present herself exceptionally well, with impeccable personal hygiene, grooming, manners, and professionalism.

· Strong meeting and social skills. Comfortable and polished in executive meetings, luncheons, business events, dinners, and important closing situations.

· Discretion and confidentiality. Understands that private family, business, financial, and personal information must remain strictly confidential.

· A "poker face." Able to remain calm, composed, and professional regardless of the circumstances.

· Thick skin. Can accept constructive criticism, correction, and high expectations without becoming defensive or taking things personally.

· Positive attitude. Approaches challenges with solutions rather than complaints.

· No drama and no gossip. We are looking for someone mature, discreet, and trustworthy who does not participate in workplace gossip or unnecessary conflict.

· Humility. Willing to perform both prestigious and routine tasks with the same level of care and professionalism.

· Sense of humor. Able to enjoy the work, laugh appropriately, and contribute to a positive environment.

· Strong work ethic. Must genuinely enjoy working hard and taking on challenges.

Executive & Administrative Responsibilities

· Manage calendars, appointments, schedules, reminders, and changing priorities.

· Make medical, professional, personal, household, and other appointments.

· Handle phone calls, correspondence, emails, messages, and follow-ups.

· Take fast, accurate notes during meetings and conversations.

· Dictate, transcribe, type, organize, and prepare notes, minutes, and documents.

· Track action items and ensure commitments and deadlines are followed through.

· Assist with meetings, luncheons, business events, closings, and other executive functions.

· Maintain organized files, records, documents, and information.

· Assist with personal and business-related errands.

· Pay bills and assist with routine personal administrative responsibilities as directed.

· Coordinate dry cleaning, pickups, deliveries, reservations, shopping, and other household needs.

· Run errands efficiently and professionally.

· Assist with travel planning and be willing to travel when needed.

· Help coordinate children's schedules, activities, pickups, and appointments.

· Be prepared to change priorities and direction quickly when circumstances require it.

Family & Household Support

This role includes assisting with appropriate personal and household responsibilities, including:

· Picking up and transporting children when needed.

· Running household and personal errands.

· Coordinating dry cleaning and deliveries.

· Helping manage appointments and family schedules.

· Assisting with children's activities and needs.

· Helping maintain an organized household environment.

· Learning the family's routines, preferences, and expectations.

· Providing dependable support during busy or unexpected situations.

A genuine love and respect for children is essential. The ideal candidate enjoys being around children and understands the importance of protecting their safety, privacy, well-being, and dignity.

Loyalty, Discretion & Trust

This is a position of significant trust.

The assistant will interact with the executive, family members, employees, business associates, vendors, and other members of the community. She must understand that her primary responsibility is to support and protect the interests of the executive, family, and company.

· Highly organized with excellent attention to detail.

· Believes an organized environment supports an organized mind.

· Able to manage multiple priorities simultaneously.

· Comfortable switching pace, priorities, and direction instantly.

· Does not become overwhelmed when plans change.

· Follows directions carefully and asks questions when clarification is needed.

· Accountable for mistakes and outcomes; does not blame others.

· Able to work independently while keeping the executive appropriately informed.

· Understands the difference between supporting a decision and making the decision.

· Able to maintain composure under pressure.

· Strong understanding of social media and appropriate online behavior.

· Able to quickly learn the terminology, structure, and unique requirements of our industry.
