Job description

Located just west of Stanford University, Woodland is an independent day school that offers a joyful approach to learning in a diverse, respectful, and inclusive environment for approximately 300 students in early childhood through eighth-grade. Essential Functions/Role and Responsibilities

Woodland is seeking a detailed-oriented individual with strong analytic and accounting abilities who applies sound, independent judgment across a variety of tasks.  A successful candidate is a reliable professional who is collaborative, organized, and able to prioritize and juggle many tasks simultaneously.

The A/P Specialist reports to the Chief Financial Officer. S/he is part of the team responsible for the school’s general accounting function and oversight of internal controls. Responsibilities include:

Accounts Payable

  • Responsible for weekly accounts payable processing, including data entry, scanning of invoices, mailing and ensuring proper coding of all invoices, check requests, and expense reimbursements, as per policy.
  • Responsible for follow-up and research on all accounts payable inquiries.
  • Maintain accounts payable vendor files, including weekly filing of payments.
  • Ensure vendor files include current W9; prepare and file annual 1099 reports.

Payment Processing and Reconciliation

  • Reconcile receipts for Extended Day and Enrichment programming.
  • Reconcile receipts with school credit cards and PEX cards, monthly.

Other Duties

  • Perform research, reconciliation, and other general accounting tasks as requested and necessary to meet department reporting deadlines.
  • Provide assistance with regard to clerical administration and other support needs, including general school community events and other business office responsibilities.
  • Support employee onboarding/offboarding, as needed.
  • Assist in providing supervision duties for students as a member of the Woodland staff.
Minimum Qualifications (Knowledge, Skills, and Abilities)

We seek a dynamic individual who works collaboratively and creatively with colleagues. The minimum requirement for candidates is a Bachelor’s Degree, preferably in Accounting or Finance. 

  • Minimum of two years’ experience in bookkeeping and/or accounting and finance, preferably in accounts payable and payroll processing
  • Proficiency with QuickBooks
  • Non-Profit/Independent School sector experience preferable
  • Solid knowledge and understanding of accounting principles required
  • Highly detail oriented, well-organized, flexible, and collaborative individual
  • Common sense, professional decorum, and clear and concise communication skills are critical due to regular interaction with parents, faculty and administrators.
  • Proficient in Microsoft Office, especially Excel and Word.
  • Experience with Google Workspace including Google Sheets.

Compensation

The hourly range is between $30 and $35/hr depending on qualifications and experience, excellent benefits, 401K employer contribution of 5% after one year of employment, $1000 wellness stipend, and generous professional development program.
