Job Overview: The Accounting Specialist is responsible for supporting the daily financial operations of the organization by accurately processing, tracking, and reconciling both accounts payable and accounts receivable. This role ensures that customer payments, vendor invoices, and related financial documents are handled efficiently and in compliance with company policies. The Accounting Specialist plays a key role in maintaining accurate financial records, resolving routine discrepancies, supporting month-end reporting, and assisting with general accounting and administrative tasks. This position requires strong attention to detail, a working knowledge of basic accounting principles, and the ability to handle sensitive financial information with professionalism and confidentiality.

Key Responsibilities:

  • Process and review customer payments, vendor payments, invoices, sales orders, and purchase orders with accuracy and timeliness.
  • Receive, review, and post customer payments; investigate and resolve routine discrepancies and chargebacks; conduct follow-up communications as needed.
  • Maintain accurate and complete financial records, files, and databases.
  • Review and reconcile accounts receivable and payable (AP/AR) and other financial documents for accuracy.
  • Assist with month-end reporting procedures and closing activities.
  • Complete accounting reports as requested or required.
  • Support the broader accounting team with accounting, clerical, and bookkeeping functions, including monitoring the shared email inbox.
  • Assist with audits and account reviews as directed.
  • Provide general administrative support as needed, including ordering supplies, greeting visitors, handling phone calls, and distributing mail.
  • Perform other tasks as assigned.

Qualifications:

  • High school diploma required; associate's or bachelor's degree in Accounting, Finance, or a related field preferred.
  • 1+ year of comparable accounting or finance work experience required.
  • Working knowledge of basic accounting principles and practices.
  • Strong attention to detail, with solid organizational and analytical skills.
  • Demonstrated proficiency with financial or accounting software (e.g., QuickBooks, ERP systems, or similar).
  • Proficiency in Microsoft Office, particularly Excel.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive financial information with discretion and confidentiality.
