Compliance & Government Records Specialist

Our patented post distillation filtering and finishing technology creates a tool for the traditional distiller to expand their repertoire of achievable flavors and aromas while improving quality, maintaining consistency, and reducing supply chain issues. This technology allows for tight control over the entire production process, resulting in the ability to create bold and unique flavor customization options for brands to choose from to expand product portfolios and fulfill market needs. As we have matured so to have our aspirations of developing our own portfolio of brands. 
 
Reports: VP R&D and Quality
Location: Zebulon, NC
Schedule: On Site Hourly, 8:30am-5:00pm, M-F
Pay Range: $25-35 per hour
Primary Duty: The Compliance & Government Records Specialist is responsible for maintaining required federal and state records, coordinating tax and regulatory filings, tracking permits and licenses, managing document retention, and supporting internal and external audits. This position serves as the administrative backbone for compliance activities across beverage alcohol operations by ensuring regulatory records are accurate, organized, and audit-ready. Success in this role requires exceptional attention to detail, organization, discretion, and the ability to work effectively in a highly regulated environment.
A successful Compliance & Government Records Specialist ensures regulatory filings are submitted accurately and on time, maintains complete and audit-ready records, proactively tracks compliance deadlines, and provides dependable administrative support that enables the business to focus on strategic and operational priorities.
Position Responsibilities:
Government Records & Regulatory Documentation
  • Maintain required federal, state, and local compliance records. 
  • Organize and retain documentation in accordance with TTB, FDA, state ABC, and company record retention requirements. 
  • Maintain electronic and paper filing systems for permits, licenses, formulas, COLAs, reports, and correspondence. 
  • Ensure records are complete, accurate, and audit-ready. 
  • Support document retrieval during inspections and regulatory audits. 
 
Excise Tax Administration
  • Compile production and inventory data used to prepare federal and state excise tax reports.
  • Prepare routine excise tax filings using established procedures.
  • Maintain supporting production, transfer, and inventory documentation. 
  • Coordinate with Finance and Operations to verify production and inventory records. 
  • Identify discrepancies and escalate issues to management for resolution.
  • Maintain tax filing calendars and ensure timely submissions. 
Regulatory Reporting
  • Prepare recurring government reports including: TTB operational reports, State filings, Gallonage reports, Rum reports, Tequila reports, and other required regulatory submissions. 
  • Monitor filing deadlines and communicate upcoming requirements. 
  • Track submission confirmations and maintain filing history. 
 
Permits & Licensing
  • Maintain permit and license database for both Federal and State licenses.
  • Track expiration dates and renewal requirements. 
  • Coordinate renewal documentation with internal departments. 
  • Assist with new permit applications as facilities or operations expand. 
 
Compliance Administration
  • Maintain formula, COLA, permit, and product registration files.
  • Prepare submission packages for review.
  • Track approvals and expiration dates.
  • Maintain compliance tracking spreadsheets and databases. 
  • Coordinate document reviews and approvals. 
  • Assist with implementation and maintenance of compliance procedures.  
Audit Support
  • Assemble documentation requested during internal and external audits. 
  • Prepare compliance files for regulatory inspections. 
  • Assist in tracking audit observations and corrective actions. 
  • Ensure documentation remains inspection-ready throughout the year.  
Required Qualifications: 
  • Be 21 years of age or older.
  • Education Requirements:
    • Bachelor's degree in Business, Accounting, Food Science, Regulatory Affairs, Supply Chain, or related field; or
    • Associate degree with 3–5 years of regulatory, compliance, tax, accounting, or records management experience; or
    • Equivalent combinations of education and experience will be considered.
  • Experience with government reporting, regulatory documentation, excise tax preparation, records management, beverage alcohol manufacturing, ERP systems, Microsoft systems, and FDA or TTB regulated industries is preferred.
  • Strong organizational skills with exceptional attention to detail and the ability to handle confidential information.
  • Excellent written and verbal communication.
  • Strong analytical and reconciliation skills.
  • High level of accuracy with data entry and recordkeeping.
  • Ability to work independently in a fast-paced environment and manage multiple priorities.
  • Be a strong team player; have experience in bringing teams/individuals together to deliver project results through strong thought and executional leadership.
