Executive Assistant to the CEO & President

Exceptional Executive Assistant Opportunity – Medical Device Industry

Are you an Executive Assistant who thrives in a fast-paced, executive environment? Our client, an innovative publicly traded medical device company located near Irvine, CA, is seeking a highly organized, proactive professional to become the trusted right hand to the CEO & President while also supporting the Executive Leadership Team. This is a full-time and direct hire opportunity.

This is far more than a traditional administrative position—it's an opportunity to play a key role in supporting executive leadership, collaborating with the Board of Directors, and contributing to the success of a growing organization.

 

What You'll Do

As the Executive Assistant, you'll serve as a strategic partner to the CEO, ensuring priorities are executed seamlessly while managing multiple high-profile initiatives.

Key responsibilities include:

  • Serve as a trusted partner to the President & CEO, providing high-level executive support while assisting the Executive Leadership Team as needed.
  • Manage complex executive calendars, prioritize competing demands, coordinate meetings, and proactively anticipate scheduling needs.
  • Create and refine executive correspondence, reports, presentations, Board materials, and other business documents with exceptional quality and professionalism.
  • Lead all Board of Directors coordination, including meeting logistics, agendas, Board books, minutes, resolutions, and follow-up on key action items.
  • Build and maintain strong relationships with Board members, executives, employees, customers, investors, and external partners while serving as a key representative of the executive team.
  • Partner on strategic initiatives, cross-functional projects, and high-priority business objectives.
  • Plan and execute executive meetings, Board meetings, and onsite or virtual events, ensuring every detail is handled seamlessly.
  • Coordinate complex domestic and international travel, including flights, hotels, ground transportation, visas, and detailed itineraries.
  • Manage executive travel and expense reporting using Concur or a comparable expense management system.

 

What We're Looking For

The ideal candidate is confident, resourceful, and thrives in a dynamic executive environment.

Qualifications include:

  • Bachelor's degree preferred; 7–10+ years of experience supporting a CEO, President, or other C-level executives.
  • Proven experience partnering with a Board of Directors, including Board meetings, materials, agendas, minutes, and executive communications.
  • Public company experience with knowledge of corporate governance, SEC reporting, and highly confidential Board matters preferred.
  • Expertise in managing complex executive calendars, international travel, and multiple priorities across time zones.
  • Experience supporting executives in the medical device, biotechnology, life sciences, or healthcare industry is highly preferred.
  • Exceptional communication, organizational, and relationship-building skills with meticulous attention to detail.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Microsoft Teams or Zoom.
  • Highly organized, proactive, and able to deliver polished, high-quality work with minimal direction.
