Job description

Position Description: Job SummaryThe Receptionist/Client Service Specialist serves as the first point of contact for our clients, visitors, and callers, providing welcoming and professional experience. This role will perform routine clerical and administrative functions such as answering phones and routing calls to appropriate staff, drafting correspondence, scheduling appointments, making reminder calls to clients, organizing paper and electronic files, and providing information to callersJob Description:ESSENTIAL FUNCTIONS/PERFORMANCE REQUIREMENTS:
A. Direct Responsibilities/Duties
1. Answer and direct all calls in a professional, friendly manner and take complete and accurate messages with the current date and time and deliver messages to the appropriate staff as soon as possible.
2. Document all incoming calls into Apricot Database.
3. Greeting all incoming clients, vendors and visitors with a warm and friendly welcome and managing check-in process for appointments.
4. Ensure the reception, living area, and kitchen are consistently clean, organized, and properly stocked with all required supplies.
5. Receive, sort, and distribute incoming mail, packages, and other correspondence.
6. Organize meeting rooms before and after every meeting.
7. Assist with other administrative tasks as required by the Chief Finance Officer.
8. Attend all staff and team meetings.
9. Maintain client and family member confidentiality in accordance with HIPAA standards and agency ethical standards.

5. Ability to multitask, prioritize workload and manage time.

QUALIFICATIONS AND EDUCATION REQUIREMENTS
1. High School diploma or equivalent required.
2. Associate’s degree in administration and/or certification from an accredited educational institution preferred.
3. One to two years’ customer service or front desk receptionist experience.
4. Demonstrated commitment to high professional ethical standards and diversity in the workplace.
5. Exceptional Customer Service Skills.
6. Strong verbal and writing communication skills.
7. Proficient use of computers, internet, social media, Microsoft Office suite of programs, and multi-line phone system.
8. Bilingual strongly preferred.
Physical Work Requirements:
1. Office-based position requiring extended periods of sitting.
2. Frequent interaction with visitors, staff, and clients.
3. Ability to reach, bend, and lift office supplies or packages (typically up to 15–25 pounds).
4. Ability to work in an environment with frequent interruptions.
