Position Responsibilities

The Administrative Coordinator's duties and responsibilities include maintaining the smooth and efficient daily operation of Channel's Minnetonka headquarters and related project management. To be successful in this role, you must become familiar with a variety of Channel's concepts, practices, and procedures. This position is 95% in-office, with occasional remote work flexibility. This role reports to and works closely with the Executive Assistant, and frequently collaborates with the administrative department. The best candidates will be self-motivated, team-oriented, and eager to be a part of a rapidly growing business. This is a part-time position targeting 20 hours per week


Key Tasks

  • Maintain a clean and organized office environment, ensuring common areas are presentable and functional
  • Establish and maintain organizational and storage systems throughout the office
  • Manage office supplies inventory, ordering necessary items and re-stocking
  • Coordinate office functioning and maintenance, liaising with building management, vendors, and service providers as necessary
  • Be a touchpoint for assistance and support to employees: addressing physical and maintenance issues, minor technical problems, room scheduling and seating inquiries, administrative issues, and general inquiries
  • Conduct employee training on office procedures for new hires and as needed, including printers, beverage machines, everyday electronics assistance, and Outlook calendar usage related to meeting room booking
  • Process and distribute mail, including handling sensitive and confidential documents
  • Create, promote, and run Fun Committee events for employee engagement
  • Oversee Friday lunch and month-end lunch catering
  • Assist in organizing company events and meetings
  • Manage billing process with hotels and provide employees with necessary information on creating reservations as needed
  • Handle administrative tasks, including expenses, data entry, file organization, and document management
  • Assist the administrative team with various office and employee management tasks and projects as needed, including working with Channel's offices across the country
  • Collaborate with other departments to ensure effective communication and efficient office operations
  • Assist other departments with reporting in Excel or PowerBI as needed
  • Other duties as assigned
