Job Description
Company Overview:
We are seeking a proactive and detail-oriented Workplace & Facilities Coordinator to join our dynamic team in Bellevue/Seattle, WA. Our company values a supportive and collaborative work environment where every team member contributes to our success. This role is pivotal in ensuring our office operations run smoothly while providing exceptional service to our employees, visitors, and vendors.
Responsibilities:
Reception & Employee Experience:
โ€ข Serve as the first point of contact, creating a welcoming environment for employees, visitors, and vendors.
โ€ข Greet, direct, and sign-in office visitors; develop strong relationships with stakeholders.
โ€ข Proactively share office updates with the team when relevant
โ€ข Manage incoming/outgoing mail and packages efficiently.
Workplace Operations & Facilities:
โ€ข Support office operations in partnership with the Workplace Site Manager.
โ€ข Open and close the office daily (lights, blinds, supplies, dishwasher, etc.).
โ€ข Maintain daily organization and cleanliness of common areas (lobby, kitchen, meeting rooms).
โ€ข Manage inventory and restocking of snacks, beverages, kitchen, and office supplies. Monitor badge access logs, distribute temporary badges, and assist with security protocols.
Event & Vendor Support:
โ€ข Assist with setup and cleanup for meetings and office events.
โ€ข Coordinate lunch orders and food delivery logistics.
โ€ข Work with event hosts to confirm meal types, dietary needs, and service times.
โ€ข Support on-site vendors with access and workspace assistance.
Administration:
โ€ข Maintain documentation and spreadsheets for menus, events, orders, and quarterly programs.
โ€ข Help with internal resource navigation and communication for employees.
โ€ข Participate in recurring tasks such as updating weekly menus and managing quarterly parking assignments.
โ€ข All other duties as assigned
