A Client Care Specialist exhibits a warm and professional impression to all visitors and callers while providing administrative support within the office.

The ideal person for the position is a proactive problem-solver with outstanding communication skills, a strong desire to help people and meticulous attention to detail. This person will also have previous experience working in an office environment, providing customer service, carrying out administrative tasks and providing team support.


Cromwell & Associates is a nontraditional law firm providing legal counsel primarily in estate and business planning. The majority of our firm’s Clients are along the central Gulf Coast from Biloxi, Mississippi to Panama City, Florida with matters both domestic and international.

Objectives of this Role

· Become the positive first impression of the firm

· Manage phone system, routing calls as appropriate

· Flexible on job assignments

· Manage office calendar and schedule meetings

· Maintain orderly appearance of all public areas

· Perform administrative task to support daily operations

· Assist with marketing activities, including follow up calls and correspondence


Daily and Monthly Responsibilities

· Greet and interact with all visitors and callers

· Manage reception area and conference rooms for meetings

· Answering incoming phone calls abd managing office calendar

· Assist as needed with projects, matters and plans

· Preparation of correspondence and note cards and managing client follow-up

· Assist in file opening process and file management

· Some travel as needed

· Demonstrate firm mission and values in all interactions

· Assist with marketing activities and customer service

Required Skills

· Superb verbal and written communication skills – ability to assist in proof-reading work and to write a professional email and other correspondence

· Excellent telephone/meeting etiquette and customer service skills

· Strong organization and time-management skills with the ability to coordinate and organize multiple projects at the same time

· Proficient in MS Office Suite (especially Word and Excel)

· CLIO software and Constant Contact a plus

· Able to identify and communicate where systems and processes can be improved


Preferred Education and Experience

· Experience in customer service or hospitality

· Experience with high telephone call volume

· Involvement in a club, team sport, or social activities, a plus

· 1 to 3 years in an office environment; HOWEVER, if you do not have office experience but have the computer knowledge and ability to provide excellent customer service we welcome your application as we can provide training and support.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
