Job Overview
The Parade Volunteer Management Assistant supports the Production Management team in coordinating and executing volunteer management activities for the Macy's Thanksgiving Day Parade during Parade season. This role assists with key aspects of volunteer engagement, communication, scheduling, and operational support to help ensure a seamless volunteer experience and successful event execution.
What You Will Do
  • Oversee and support the Macy's Studios volunteer community.
  • Help develop and execute the overall volunteer engagement strategy, including volunteer events, relationship management, and registration support.
  • Identify and coordinate volunteer recognition programs that drive engagement and retention.
  • Partner with internal stakeholders to promote colleague participation in Parade volunteer programs and initiatives.
  • Assist in defining and communicating the value proposition and benefits of volunteering.
  • Support all volunteer communications, including mass emails, management of the volunteer events mailbox, responses to frequently asked questions, and mobile app inquiries.
  • Assist with volunteer registration activities, including distributing applications, reviewing submissions, generating reports, and maintaining registration records through the registration platform and Parade Database.
  • Support volunteer recruitment efforts through company-wide communications and colleague engagement initiatives.
  • Maintain and update volunteer records within the Parade Database, including data entry, quality reviews, and user support.
  • Serve as a liaison with key partners supporting the Parade Database and assist with database migration initiatives.
  • Coordinate with technology partners to support volunteer registration site and mobile app needs.
  • Assist with planning and execution of pre-Parade events for the Macy's Studios team, including load-in/load-out activities and event setup and strike for holiday events, trainings, and attractions.
  • Support Production Management team operations, including project coordination, data entry, team communications, and presentation development.
  • Schedule and coordinate meetings, training sessions, and event logistics.
  • Foster an environment of acceptance and respect that strengthens relationships, and ensures authentic connections with colleagues, customers, and communities.
  • In addition to the essential duties mentioned above, other duties may be assigned.

Communication Skills: Ability to communicate clearly, professionally, and proactively through multiple channels, including mass communications, presentations, event communications, email management, and stakeholder updates. Practices open, continuous communication and keeps others informed.
Event Planning & Coordination: Ability to plan, organize, and execute volunteer events, trainings, meetings, and Parade-related activities while managing multiple priorities and logistical details.
Project & Process Management: Ability to coordinate projects, manage timelines, track deliverables, and support cross-functional workflows to ensure successful execution of volunteer programs and operational initiatives.
Stakeholder Partnership & Collaboration: Ability to build productive relationships and collaborate effectively with colleagues, volunteers, technology partners, vendors, and cross-functional teams at all levels of the organization.
Customer Service & Hospitality Orientation: Commitment to providing a positive volunteer experience through responsiveness, problem solving, support, and a service-first approach consistent with the Macy's culture of hospitality.
Data Management & Attention to Detail: Ability to maintain accurate volunteer records, manage registration data, generate reports, perform quality reviews, and ensure data integrity across volunteer management systems.
Technology & Systems Acumen: Proficiency in learning and utilizing volunteer registration platforms, databases, mobile applications, and business technology tools to support program operations and process improvements.
Analytical & Strategic Thinking: Ability to think creatively, analytically, strategically, and technically to identify opportunities, improve processes, increase volunteer engagement, and drive program effectiveness.
