Title: OR Scheduling Analyst - OR Support - Norwalk Hospital - Norwalk, CT - Full time - Monday- Friday 7:00am - 7:30pm
Summary:
Responsible for cross functional activities such as: scheduling, auditing Operating Room procedures, as well as providing administrative support to the Perioperative Managers and Director. Serves as backup to Anesthesia Scheduler, Pain Management and OR Unit Secretary. Responsibilities include, but not limited to, assessing and analyzing room availability, equipment/supply conflicts, block booking arrangements, and overall case to case time efficiency according to block scheduling policies and procedures. Coordinates and communicates effectively all necessary modifications or updates of the OR schedule to respective personnel &/or departments. Assists Periop Managers & Director in data based projects, as well as administrative functions.
Responsibilities:
1. Surgery Scheduling and Maintenance Criteria A: Demonstrates the ability to efficiently schedule surgical cases as defined by the Surgery Scheduling Program guidelines. Surgery Scheduling and Maintenance Criteria B: Demonstrates the ability to accurately schedule surgical cases as defined by the Surgery Scheduling Program guidelines. Surgery Scheduling and Maintenance Criteria C: Demonstrates the ability to collaborate with surgeon's office staff to provide the MOST feasible operating room schedule for the surgeon and to fill in time gaps between cases that may present operational problems in schedule administration. Surgery Scheduling and Maintenance Criteria D: Reviews tentative schedule 24 hours prior to procedure date for missing and/or variable factors that may affect case duration or set-up. Communicates findings to appropriate clinical leaders.
2. Preparation and Distribution of Surgery Schedule Criteria A: Demonstrates ability to accurately and efficiently enter MRN's, PA staff, and Anesthesia staff assignments. Preparation and Distribution of Surgery Schedule Criteria B: Coordinates with Admitting office, charge nurse(s), SPD, Purchasing, Anesthesiologists, Surgeons, and PAs to ensure accurate updates. Preparation and Distribution of Surgery Schedule Criteria C: Attempts to maximize rooms, and resources efficiently. Preparation and Distribution of Surgery Schedule Criteria D: Prepares final version of schedule and distributes it to the appropriate departments.
3. Communication Criteria A: Answers all communication devices promptly and courteously. Communication Criteria B: Coordinates and communicates effectively and in a timely manner all necessary modifications or updates to the surgery schedule with charge nurse(s), admitting dept., SPD, Purchasing, physicians' offices and OR administration. Communication Criteria C: Communicates trends & patterns that may improve or impede the scheduling process, innovative ideas, and computer system issues to OR management in a prompt and timely manner. Communication Criteria D: Demonstrates effective communicational skills with internal and external customers, i.e health care personnel, physicians and their office personnel, patients, peers, and management.
4. Other Departmental Responsibilities Criteria A: Transcribes accurately the OR scheduling procedures from Consent, Orders & Other affirmations prior to distribution. Other Departmental Responsibilities Criteria B: Communicates & Helps resolve effectively scheduling conflicts & issues to PAT, OR Staff, Surgeon's Offices & Anesthesia Other Departmental Responsibilities Criteria C: Assists in Auditing OR Nursing e-Charting, supporting Quality, Regs, Billing & Supplies Usage. Other Departmental Responsibilities Criteria D: Helps Director & Managers with backup supports & projects i.e. Correspondence, U/S functions, Pain Management functions, Anesthesia Floater Schedule
5. Occupational and Personal Responsibilities Criteria A: Maintains a good working atmosphere with co-worker(s) and hospital staff. Occupational and Personal Responsibilities Criteria B: Demonstrates a willingness to learn new procedures. Occupational and Personal Responsibilities Criteria C: Executes other responsibilities as assigned in a positive manner Occupational and Personal Responsibilities Criteria D: Handles correspondence as well as Orders & Maintains Office supplies, materials.
6. Performs other duties as assigned.
7. Fulfills all compliance responsibilities related to the position.
Other Information:
Required: Bachelor preferred, Associates degree or an equivalent of three (3) years experience required. Excellent computer and communication skills.
Minimum Experience: three years
Desired: Knowledge of Medical Terminology Required. Good analytical and problem solving skills. Good organizational skills. Ability to multitask effectively.
