JOB TITLE: Media Coordinator

DATE: 2025

DEPARTMENT: Media Investment

Reports To: VP, Marketing

MAJOR PURPOSE:

The Media Coordinator is responsible for supporting the strategic planning, development, and administrative execution of digital media campaigns. Working hand-in-hand with the programmatic media buyers, this role focuses on the front-end campaign lifecycle: managing vendor relationships, coordinating with the marketing team and vendors on crafting client POVs, proposals, and plans, and securing internal and client approvals. Additionally, the Media Coordinator serves as the guardian of accountability, managing the Proof of Performance process to ensure vendors deliver exactly what was promised.

MAJOR RESPONSIBILITIES:

  • Act as the primary point of contact for media vendors across digital media buys. Schedule partner meetings, request information, and keep the team updated on new opportunities
  • Work with marketing team on POVs, proposal, and plan requests, and in tandem with the vendors (when necessary) build documents for client review
  • Support media buyers in assembling comprehensive media plans, ensuring flight dates, rates, targeting criteria, and estimated performance metrics are accurately documented
  • Route media plans and creative briefs to marketing stakeholders and clients; collect, synthesize and implement their feedback to secure final campaign approvals
  • Oversee the post-launch verification process. Collect screenshots, tear sheets, broadcast logs, and delivery reports from vendors to verify that all placements ran as contracted
  • Partner closely with Ad Ops to pass off approved media plans and creative assets, ensuring a seamless transition from planning to technical execution
Requirements:

CANDIDATE SHOULD HAVE:

  • Solid foundational understanding of media buying concepts, terminology, and channels
  • Excellent communication and interpersonal skills, with the ability to interact at all levels of the organization and with external clients
  • Proficient in Microsoft Office Suite, particularly Excel
  • Highly organized with the ability to manage multiple moving parts, follow up on outstanding approvals, and keep campaigns moving forward on tight schedules
  • Exceptional attention to detail and the ability to manage multiple high-priority projects simultaneously
  • A team player with a positive attitude and strong work ethic
  • Ability to work in a fast-paced environment and adapt to changes quickly

EDUCATION & EXPERIENCE:

  • 1-3 years of experience in ad trafficking.
  • Bachelor’s degree in Marketing, Advertising, Communications, or related field, or equivalent experience.
