What is an HOA receptionist?

HOA receptionists are administrative professionals who work for homeowners' associations (HOAs). They are responsible for greeting residents and visitors, answering phone calls, addressing inquiries, and providing general administrative support to the HOA office. Their duties often include managing correspondence, scheduling appointments, and helping facilitate communication between residents and the HOA management team. HOA receptionists play a crucial role in ensuring efficient office operations and maintaining positive relationships within the community.

What are the typical daily interactions and responsibilities of an HOA receptionist within a homeowner association office?

As an HOA Receptionist, your daily routine usually involves greeting residents and visitors, answering phone calls, responding to emails, and assisting with general inquiries about the community. You’ll often coordinate with property managers, maintenance staff, and board members to relay messages and schedule appointments. Additionally, you'll be responsible for handling documentation, distributing notices, and maintaining records, which requires attention to detail and strong organizational skills. Collaboration and clear communication are essential, as you serve as the first point of contact for both residents and vendors.

What are the key skills and qualifications needed to thrive as an HOA receptionist, and why are they important?

To thrive as an HOA Receptionist, you need strong organizational skills, attention to detail, and experience with office administration, often supported by a high school diploma or equivalent. Familiarity with office software like Microsoft Office Suite, property management systems, and multi-line phone systems is typically required. Excellent interpersonal skills, professionalism, and the ability to handle sensitive information discreetly help someone excel in this role. These skills and qualities are vital for ensuring smooth daily operations, positive resident interactions, and efficient management of community inquiries.

Commercial Account Manager

Job description

Boynton Beach, United States | Posted on 08/22/2026

Green Image Landscaping and Tree Service

We maintain, build and care for commercial properties and HOA communities across Palm Beach, Broward and Miami Dade. Grounds maintenance, landscape install and enhancement, tree work, and irrigation through our own division, Water Wizard.

About 20 people work here, and most of them are in the field.

What that actually means if you work here:

  • Year round work. South Florida does not stop growing in January and neither do we. There is no seasonal layoff.
  • Commercial only. Fixed routes and properties you get to know, not a different residential driveway every hour.
  • Equipment that starts. Gear gets replaced before it fails, not after.
  • Room to move. Groundsman to crew leader. Crew leader to foreman. Groundsman to climber or irrigation tech. Those moves are open.

We are based in Boca Raton and work across all three counties.

Job Description

Commercial Account Manager | Green Image | Boca Raton, FL. Field and office | Monday to Friday, standard business hours, with early starts when walking properties before crews arrive.

LOCATION

Field and office based across Palm Beach, Broward and Miami-Dade counties. Based out of Boca Raton, with daily property visits.

SCHEDULE

Monday to Friday, standard business hours, with early starts when walking properties before crews arrive.

ABOUT THE ROLE

This role owns the retention and the growth of a book of commercial and HOA accounts. You are the named person those property managers and boards call.

You walk your properties, find the problems before the client does, and get them documented and quoted. The measure of this job is that accounts renew and grow, and that clients are not calling the office angry about something you should have caught on a walk.

You sell the enhancement work those properties actually need, and you cross sell irrigation, tree and landscape construction into the accounts you already hold.

This is a strong fit for someone comfortable walking a property, speaking directly with a board, and holding an operations team accountable to a documented standard without doing their job for them. If you want to sell and hand off, this is not the role. If you want to run production, this is also not the role.

WHAT YOU'LL DO

  • Own a defined book of commercial and HOA accounts as the named point of contact.
  • Walk each assigned property on the defined cadence and document conditions in CompanyCam.
  • Log every client interaction, issue and commitment in Zoho CRM the same business day.
  • Respond to client issues within one business day and confirm back to the client when the work is scheduled.
  • Build and present enhancement proposals for the work your properties need.
  • Cross sell irrigation, tree and landscape construction services into your existing accounts.
  • Attend HOA board and property manager meetings when your accounts require it.
  • Manage the renewal conversation on your accounts ahead of expiration, not after.
  • Escalate production quality problems to the responsible manager with documentation, and follow up until they are closed.

WHAT YOU WON'T DO

  • You will not schedule crews. Lawn maintenance scheduling is owned by the Lawn Maintenance Manager and tree and construction scheduling is owned by Production.
  • You will not personally perform field corrections or punchlist work. Production schedules it and the crews complete it.
  • You will not own production quality directly. You inspect, document, elevate and hold accountable.
  • You will not own collections. You support the conversation when a client dispute involves your account.
  • You will not become the company's general receptionist for calls unrelated to your book.

TOOLS

  • Zoho CRM for account records, activity logging and pipeline
  • CompanyCam for property condition documentation
  • QuickBooks Online for estimate, job and invoice information
  • Zoho Mail and Zoho Calendar

REQUIREMENTS

  • 2 plus years managing commercial or HOA grounds maintenance accounts
  • Comfortable presenting to property managers and HOA boards
  • Able to walk a property and correctly identify turf, plant, palm, irrigation and drainage issues
  • Demonstrated record of retaining accounts and selling additional work into an existing book
  • Valid Florida driver license and reliable transportation
  • Able to walk properties outdoors in South Florida heat and humidity
  • Comfortable logging activity in a CRM daily, not weekly
  • Preferred: Spanish and English
  • Preferred: existing relationships with South Florida property management firms
  • Preferred: CAM industry familiarity

SUCCESS LOOKS LIKE

  • Assigned accounts hit the renewal and retention rate targeted by your manager.
  • Every assigned property is walked on the defined cadence, documented in CompanyCam.
  • Client issues receive an initial response within one business day.
  • Client interactions and commitments are logged in Zoho CRM the same business day.
  • Enhancement proposals issued per month meet the target set with your manager.
  • Issued proposals are followed up within the defined sales cadence.
  • Escalated production issues on your accounts are closed out and confirmed back to the client.
