SALARY RANGE: $51,261 - $69,836 (range commensurate with experience)

All Chicago MHH prevents and ends homelessness through emergency financial assistance, community partnerships, data analytics, and training and research. All Chicago manages the Homeless Management Information System (HMIS), a system which manages data on Chicagoans experiencing, or at risk of, homelessness and the services they receive. Our team supports more than 1000 individuals with training, helpdesk services, and running and interpreting reports. Chicago also leverages this data to drive allocation decisions, set strategy and policy, and monitor progress toward ending homelessness.

 Position Summary:

The HMIS Reporting Specialist is a member of the Homeless Management Information Systems team. The team works with the community to provide Homeless Management Information System administration, create reports and data extracts, conduct in-person training and provide technical assistance for users across the Chicago Continuum of Care (CoC). The HMIS Reporting Specialist helps ensure that timely and accurate data is distributed based on the needs of the community. The responsibilities of the HMIS Reporting Specialist include creating new reports and custom data extracts as directed, maintaining existing report portfolio by updating content as needed, providing related technical support to the CoC community in utilization of the reports, and testing and validation of output produced.


Position responsibilities and work volume will be established and evaluated through ongoing supervision, annual reviews, and the development of an annual professional development plan.


Position Responsibilities:

Report and Data Request Development:

  • Work with requesting partners and internal staff to understand report and data extract requests
  • Document requirements necessary for solution delivery
  • Develop technical specifications for building the requested solution
  • Ensure verification and validation of all data sources and data transformations
  • Produce report mock-up or proof of concept for review during solution development
  • Document expected results and test plan to verify results
  • Maintain and update data dictionary as needed for common data definitions for the CoC
  • Prepare and maintain a catalog of reports and data requests
  • Update reports and data requests based on HUD Data Standards Changes
  • Assist with production of periodic reports required for federal and state funded programs (e.g. - HIC, PIT, LSA, SPM, ESG/CAPER, and others)
  • Pursue additional training or knowledge as needed to accomplish the above activities
  • Proactively identify data quality issues and work with HMIS management to implement solutions
  • Produce and provide documentation on content, context, and proper use of reports and data requests
  • Train internal and external users on utilizing reports and data extracts

System Administration & Help Desk Support:

  • Monitor and respond to relevant support requests received through the helpdesk
  • Perform administration and maintenance of reporting tools
  • Evaluate reporting tool updates to determine impacts and make preparations for implementation
  • Administration of some internal and external data sources other than HMIS system
  • Remain knowledgeable about current Data Standards, HMIS application and data changes, CoC-specific uses of data, and other relevant topics through independent study, relevant workshops, and conferences

Other Tasks:

  • Keep current on trends and best practices related to reporting tools
  • Actively participate in department and agency meetings
  • Communicate effectively with management, peers, and partners in written, oral, video, and in-person communications
  • Other duties as assigned

Requirements

Successful candidates will demonstrate commitment to preventing and ending homelessness in Chicago and will have the following:

  • 2 years of overall relevant work experience or a college degree in Information Systems, Computer Science, Data Analytics, Business Analytics or related field
  • 2 years of experience in report design and implementation using tools such as SAP BusinessObjects Web intelligence, Microsoft SSRS Report Builder, or equivalent
  • Experience in defining and performing quality assurance tasks including mass testing and validation of data results
  • Expert knowledge/skills with Microsoft Office products including, but not limited to Excel, Word, PowerPoint, Outlook, and Access
  • Working knowledge of Microsoft SQL Server databases and query language
  • Experience with a Homeless Management Information System (HMIS) is preferred
  • Excellent communication skills; ability to convey information in a clear and concise manner
  • Self-motivated with the ability to prioritize, meet deadlines and manage changing priorities
  • Proven ability to be flexible and work hard, both independently and in a team environment
  • A strong work ethic, integrity, and the highest ethical standards are expected
