Position Summary

We are seeking a highly professional Executive Assistant to directly support the CEO, CAO, and COO, with additional support provided to the CFO and General Counsel as needed. As the primary point of contact for the executive leadership team, you will represent the company to internal leaders, customers, and Government officials. The ideal candidate possesses exceptional writing skills, strong Excel proficiency for basic financial reporting, and the problem-solving agility needed to manage complex administrative tasks.ย

Primary Duties & Responsibilities

  • Executive Support: Maximize executive effectiveness through proactive calendar management, travel coordination, meeting preparation, communication screening, correspondence research and administrative support for daily business operations
  • Calendar Management: Maintain complex executive calendars, resolve scheduling conflicts, and coordinate high-profile meetings
  • Communication & Reporting: Draft professional letters and synthesize data to create informational reports
  • Internal Media: Take the lead in authoring and formatting company-wide newsletters
  • External Media: Support the collection and posting of news and information to the external website
  • Data Management: Perform basic financial analysis using Excel and preserve institutional knowledge by archiving historical company data
  • Telecommunications: Initiate, coordinate, and facilitate executive-level teleconferences and virtual meetings.
  • Travel Coordination: Organize comprehensive travel itineraries, lodging, and accommodations
  • Work schedule: In-office five days per week with flexible hours and occasional telework

Requirements
  • Experience: Five years as an Executive Assistant or Administrative Assistant supporting C-suite or senior executives
  • Technical Software: High proficiency across the full Microsoft Office Suite, specifically advanced scheduling in Outlook and data analysis in Excel
  • Core Competencies: Exceptional written communication, editing skills, and research capabilities
  • Soft Skills: High flexibility, strong problem-solving expertise, and the ability to maintain strict confidentiality
  • Education: Bachelor's degree is desired
