Construction Project Coordinator - Job Description

The Project Coordinator supports the planning, coordination, documentation, financial tracking, and execution of commercial waterproofing and building restoration projects. This role works closely with project managers, operations, and accounting teams to keep projects organized, financially accurate, and on schedule from startup through closeout. The position is ideal for a construction professional who understands field operations, enjoys a fast-paced environment, and wants exposure to complex facade restoration, waterproofing, and exterior envelope work on high-end, high-rise structures.

Responsibilities
  • Coordinate daily administrative and operational needs for waterproofing and restoration projects.
  • Support PMs with project startup (files, schedules, budgets, documentation).
  • Track schedules, manpower, materials, and project closeout to maintain performance.
  • Communicate with GCs, owners, consultants, vendors, subs, and internal teams.
  • Monitor milestones, deadlines, approvals, and action items; provide updates.
  • Identify and escalate project issues early to PM/Operations Manager.
  • Maintain accurate project data (contracts, change orders, billing, costs, margins).
  • Assist with WIP/PDP reporting, cost tracking, and monthly financial updates.
  • Review labor, material, and subcontractor costs against budgets; track variances.
  • Support billing, cost coding, and financial closeout processes.
  • Manage contracts, submittals, RFIs, and closeout documentation.
  • Ensure field teams have current drawings, specs, and required project info.
  • Coordinate procurement, deliveries, inspections, and site logistics.
  • Track and process change orders, invoices, and subcontractor records.
  • Support project closeout, compliance documentation, and recordkeeping.

Additional Skills & Qualifications
  • 5+ years in construction coordination or specialty contracting (waterproofing, façade, roofing, restoration).
  • Experience with WIP, PDP, job costing, forecasting, and project financials.
  • Strong knowledge of construction administration (submittals, RFIs, COs, POs, billing, closeout).
  • Ability to read drawings, specs, scopes, and contract documents.
  • Proficiency in Excel (financial tracking/formulas) and Microsoft Office.
  • Experience with AIA billing and subcontractor onboarding (W9, COI).
  • Strong organization, communication, follow-up, and multitasking skills.
  • Familiarity with percentage-of-completion accounting and basic GAAP principles.
  • Experience with high-rise or exterior envelope restoration projects.
  • Comfort working in compliance-heavy environments (safety, documentation, regulations).
  • Analytical mindset for cost review, variance tracking, and profitability analysis.
  • Desire for growth in specialty construction with field exposure and technical projects.
