Job description

Heavy Equipment Service Writer

The Heavy Equipment Service Writer is responsible for managing and maintaining the B2W system for Texas shop operations while providing administrative and customer support to the Service Department. This role works closely with the Heavy Equipment Service Manager and other service personnel to ensure accurate documentation, efficient workflow, and timely communication in accordance with company standards and policies.

Responsibilities include:

  • Receive and manage all incoming calls, including customers, internal personnel, and manufacturers' representatives; determine which calls should be escalated to the Heavy Equipment Service Manager. Create and maintain all work orders on all equipment while verifying warranty status.
  • Create, update, and maintain all work orders for equipment repairs and preventive maintenance, including verification of warranty status.
  • Utilize telematics and maintenance tracking systems to identify upcoming preventive maintenance needs and coordinate replacement of wear items.
  • Review equipment inspection forms and create work orders as needed based on findings.
  • Communicates recurring issues related to field satisfaction, equipment performance or ongoing issues to Shop Manager.
  • Coordinate with technicians, vendors, and parts personnel for efficient repair and reduced equipment downtime.
  • Visit job sites as needed to support service operations and equipment evaluations.
  • Work overtime when necessary to meet business demands.
  • Perform other related duties as assigned.

Qualifications include:

  • Prior experience in service administration, service writing, or customer service within construction, heavy equipment, or fleet operations preferred.
  • Valid driver's license with the ability to travel to job sites.
  • Strong proficiency in Microsoft Excel and Word; experience with maintenance or fleet management software (e.g., B2W) preferred.
  • Excellent organizational skills and strong attention to detail.
  • Self-motivated with strong verbal and written communication skills.
  • Ability to multitask, prioritize, and adapt in a fast-paced, deadline-driven environment.
  • Strong problem-solving, research, and interpersonal skills.
  • Ability to work effectively with technicians, managers, vendors, and customers.

Department: Texas shop Reports To: Heavy equipment service manager Location: Houston, TX Schedule: Monday through Friday 7am – 3:30 pm, available by phone as needed.
