GRANT COORDINATOR

Office of Sponsored Programs

OVERVIEW

Reporting to the Director of Sponsored Programs, the Grant Coordinator provides administrative, financial, compliance, and programmatic support in the management and oversight of the institution's sponsored programs portfolio. This position serves as a key support role within the Office of Sponsored Programs and assists with the coordination of pre-award and post-award grant activities, sponsor compliance, reporting requirements, budget monitoring, project tracking, and stakeholder communications.

The Grant Coordinator works collaboratively with faculty, staff, project directors, department leaders, finance personnel, and external funding agencies to ensure the effective administration of grants, contracts, cooperative agreements, and other sponsored projects. This position supports the Director of Sponsored Programs in advancing institutional priorities through effective stewardship of externally funded programs and compliance with federal, state, local, and private sponsor requirements.

JOB DUTIES

The Grant Coordinator must perform the following duties and responsibilities:

Executive Support to the Director of Sponsored Programs

  • Provide direct administrative and operational support to the Director of Sponsored Programs
  • Assist with coordinating the day-to-day activities of the Office of Sponsored Programs
  • Maintain grant management calendars, reporting schedules, and compliance deadlines
  • Assist in preparing meeting materials, reports, presentations, and correspondence for internal and external stakeholders
  • Assist with monitoring institutional grant portfolios and tracking award performance
  • Support the preparation of institutional reports, audits, monitoring visits, and sponsor reviews
  • Coordinate communications among project directors, principal investigators, finance staff, academic departments, and funding agencies
  • Assist in developing and maintaining grant administration policies, procedures, and training materials
  • Support strategic initiatives designed to expand external funding opportunities and strengthen grants management processes
  • Write grant proposals as directed by the Director of Sponsored Programs and/or President

Other Duties

  • Perform other duties as assigned

REQUIRED QUALIFICATIONS

The Grant Coordinator must meet the following minimum qualifications:

  • Minimum of a bachelor's degree from an accredited institution required
  • Minimum of two (2) years of experience in grants administration, sponsored programs, or a related field
  • An equivalent combination of education and related experience may be substituted for the degree and experience requirements on a year-for-year basis

PREFERRED QUALIFICATIONS AND KNOWLEDGE

The Grant Coordinator must display the following knowledge, skills, and abilities:

  • Experience supporting an Office of Sponsored Programs, Grants Office, Research Administration Office, or similar higher education administrative unit
  • Experience assisting with federal grants administration, compliance monitoring, reporting, and project coordination
  • Familiarity with grant lifecycle management, including proposal development, award administration, and closeout activities
  • Proficiency with grants management systems and Microsoft Office Suite (Excel required)
  • Ability to communicate effectively (verbal and written) with all management levels within the institution as well as key individuals in funding agencies, partner organizations, and regulatory bodies
  • Knowledge of federal and state grant regulations, including Uniform Guidance (2 CFR Part 200), and applicable compliance requirements
  • Ability to respond effectively to numerous and varied situations, analyze issues, and resolve problems in support of project directors, faculty, staff, and other stakeholders
  • Ability to work independently and effectively manage multiple projects and competing deadlines
  • Must be a "team player" with the desire to promote the entire institution and all its programs through energetic and effective coordination with applicable institutional departments and appropriate external organizations and agencies
  • Excellent organizational skills and strong attention to detail, with the ability to adapt to a dynamic environment and progressive organization

JOB TYPE

Full-time, in-person role, working a minimum of 40 hours per week. Working hours will occasionally include evenings and weekends during peak periods, including grant deadlines, reporting cycles, and audit season.
