Job description

Job DescriptionPosition Summary

The Continuing Education Hospitality Assistant plays a key role in creating a welcoming, organized, and professional environment for participants attending courses and events at the Translational Medicine Institute. This position exists to ensure a seamless and positive experience for guests, instructors, and sponsors by providing on-site hospitality, assisting with event logistics, and supporting daily course operations.

Serving as a visible and approachable presence throughout the facility, the Hospitality Assistant helps orient participants, respond to needs in real time, and supports the Continuing Education team with both event execution and light administrative tasks. The overall goal of this role is to enhance the quality and efficiency of course delivery while fostering a supportive and engaging learning environment for all attendees.

Department of Clinical Sciences

The Department of Clinical Sciences mission is to assure the health and productivity of animals to meet societal needs through high quality educational programs for professional veterinary medical students, graduate veterinarians, and the public through a faculty and veterinary medical center of excellence, and to advance and disseminate comparative biomedical knowledge in an environment of interdisciplinary collaboration.

Essential Job Duties
  • Greet and assist participants at check-in, providing directions and answering questions to ensure a welcoming and organized arrival experience

  • Support instructors, sponsors, and participants by responding to requests, troubleshooting minor issues, and coordinating resources

  • Assist with event logistics, including registration, room setup, and coordination with the CE team to ensure smooth operations

  • Utilize basic computer programs to manage communications, update records, and support event documentation

  • Must be authorized to work in the United States.

  • Successful completion of a background check may be required.

  • Ability to work a flexible, event-based schedule, including early mornings or consecutive course days as needed.

  • Ability to stand, walk, and remain active for extended periods throughout the course day.

  • Ability to lift and move light materials (e.g., course supplies, boxes, or equipment) as needed.

  • Reliable attendance and punctuality are required to support scheduled courses and events.

  • Basic computer proficiency (email, spreadsheets, and document editing) required.

  • Professional demeanor and adherence to workplace policies, including confidentiality and participant privacy expectations.

  • Associate degree or equivalent

  • Strong interpersonal and customer service skills

  • Ability to communicate effectively with professional and academic audiences

  • Basic computer skills, including email, word processing, and spreadsheets

  • Ability to stay organized, multitask, and remain attentive to detail in a fast-paced environment

  • Ability to stand and remain active for extended periods during course or event days
