Essential Job Duties
The Administrative Assistant, located within the Baseball offices at Doak Field at Dail Park, provides essential administrative support to the Baseball, Men's Tennis, and Women's Tennis programs. This role helps keep daily operations organized and running smoothly while serving as a welcoming and responsive resource for coaches, staff, student-athletes, families, and visitors.
The Administrative Assistant supports a variety of administrative and operational needs, including processing travel expenses and reimbursements, reconciling P-Card transactions, maintaining coaches' calendars, organizing files and informational materials, and assisting with Teamworks. The position also supports recruitment efforts through data entry and helps coordinate travel arrangements and itineraries for recruits.
As a key point of contact for the Baseball and Tennis programs, this position responds to inquiries from players, parents, alumni, fans, NCAA and ACC officials, media, and members of the public. The Administrative Assistant answers phones, assists visitors, and helps connect coaching staff with the Athletics Department, University partners, support units, and external stakeholders.
Duties:As Administrative Assistant, responsibilities include, but are not limited to:
  • Reconcile P-Card transactions for Baseball and Tennis staff.
  • Coordinate scheduling, memos, and communications for Baseball and Tennis staff.
  • Provide support with Teamworks software.
  • Assist with travel arrangements and itineraries for recruits.
  • Assist with coaches' travel arrangements and program budget management.
  • Support the planning and coordination of banquets and other program events.
  • Perform other duties as assigned by coaches and administration.

  • Assist with the management and coordination of official and unofficial recruiting visits.
  • Perform other duties as assigned by coaches and administration.

Qualifications
Minimum Experience/Education
High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred Qualifications
  • Experience supporting administrative operations in a collegiate or professional athletic setting
  • Familiarity with event planning and coordination.
  • Proficiency with database management, data entry, and maintaining accurate records.
  • Knowledge of administrative, scheduling, travel, or team management software.
  • Ability to effectively support coaches, staff, student-athletes, families, and external stakeholders.
