As we continue to grow, we are seeking a skilled Scheduling Coordinator with construction specific scheduling experience to support our expanding operations.

About the Role

The Scheduling Coordinator is responsible for building, maintain, and optimizing schedules across multiple construction and field service departments.  This role works closely with project managers, field supervisors, and department leads to ensure crews, materials, and timelines are aligned for successful project execution.

 This position focuses primarily on construction project scheduling, with additional support for landscaping/irrigation, repairs, permitting, masonry, grading and other field operations. 

Key Responsibilities

  • Develop, update, and maintain construction project schedules, including task sequencing and dependencies.
  • Coordinate daily and weekly schedules for construction crews, subcontractors, and field teams.
  • Monitor project progress and adjust schedules based on field updates, delays, or resource changes.
  • Maintain company calendars, project timelines and milestone tracking.
  • Communicate proactively with project managers, field supervisors, clients, and vendors.
  • Prepare and maintain scheduling reports, spreadsheets, and scheduling documentation.
  • Assist with organizing materials for meetings and project updates.
  • Support scheduling for additional departments including landscaping and irrigation crews, repair and maintenance teams, permitting workflows and inspection timelines, and masonry and grading operations.
  • Provide administrative support as needed, including data entry, document management, and phone support.

 Qualifications

  • 3-5 years of construction scheduling experience required (crew scheduling, subcontractor coordination, or field operations).
  • Strong understanding of task sequencing and how activities impact downstream work.
  • Skill in identifying time-sensitive activities and keeping schedules aligned with project goals.
  • Ability to read and interpret construction drawings, scopes of work, and field documentation.
  • Expert-level Excel skills and strong data management skills.
  • Exceptional organization, attention to detail and time management abilities.
  • Ability to manage multiple schedules and shifting priorities in a fast paced environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Smartsheet.
  • QuickBooks knowledge is a plus.
  • Bilingual (English/Spanish) is a plus.
