As we continue to grow, we are seeking an experienced and driven Assistant Scheduling Coordinator to support our construction operations.

 About the Role

The Assistant Scheduling Coordinator supports the Scheduling Department by helping organize and maintain schedules across multiple operational teams. Construction scheduling is the primary focus, but this role also assists with scheduling for landscaping/irrigation, repairs, permitting, masonry, grading, and other field services. The position works closely with project managers, field supervisors, and department leads to keep timelines accurate, information flowing, and work moving efficiently.

 Key Responsibilities

  • Assist in creating, updating, and maintaining construction project schedules
  • Support scheduling needs for additional departments, including landscaping/irrigation, repairs, permitting, masonry, and grading
  • Help gather schedule inputs from project managers, field supervisors, subcontractors, and office staff
  • Track progress updates and assist in preparing weekly lookโ€‘ahead schedules and reports
  • Monitor timeโ€‘sensitive tasks and help identify potential delays or conflicts
  • Maintain documentation related to schedule changes, work orders, and project milestones
  • Assist with coordinating resource availability across teams to reduce downtime and improve workflow
  • Provide general administrative support to the Scheduling Department

 Qualifications

  • Experience in construction, project coordination, or administrative support in a fieldโ€‘service environment is helpful but not required
  • Ability to organize tasks in the correct order and understand how one activity affects another
  • Comfort managing timelines, tracking updates, and adjusting plans as priorities shift
  • Proficient multitasking skills with the ability to prioritize work and support several teams.
  • Strong organizational skills and time management abilities.
  • Ability to read or learn to read construction drawings, scopes of work, and basic field documentation
  • Proficiency with Microsoft Office (Excel, Outlook, Word)
  • Familiarity with Smartsheet or the ability to learn new scheduling and project-management software quickly
  • Detailโ€‘driven mindset with a willingness to learn and grow
  • Effective written and verbal communication skills.
  • QuickBooks knowledge is a plus.
  • Bilingual (English/Spanish) is a plus.
