Job description

Your future role at a glance

Location: Indianapolis, IN

Facility: St. Vincent Hospital and Health Care Center

Department: Fellowship Programs

Schedule: 20 hours perweek (Monday-Friday, 8:30am - 12:30pm) | Flexibility: Schedule flex allowed in order to accommodate all required key program meetings and events outside of standard hours.

How you'll make an impact in this role

Organize and coordinate activities and flow of work for the physician residency program.

Responsibilities:

  • Coordinate and organize the resident recruitment process including communicating program offerings to prospective applicants, screening applications, recommending candidates for interview, arranging interviews, participating in the selection of candidates for the rank list, and following up withcandidates.
  • Perform administrative functions including scheduling rotations, attending meetings, composing and distributing meeting minutes, and scheduling lectures/classes, evaluations and meetings for residents and faculty.
  • Maintain personnel records, curriculum documentation, accreditation documentation, conference presentations, procedure documentation, and all required rotation documentation.
  • Coordinate special events, educational functions, and recruitment events. Schedule and organize resident education sessions.
What minimum qualifications you'll need

Education:

  • High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.
    • Note: Required professional licensure/certification can be used in lieu of education or experience, if applicable.
What additional requirements you'll need
  • Experience: 4+ years of professional experience in administration, office management, or program coordination.
  • Technical Skills: Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar).
  • Industry Background: Previous experience working within a clinical or academic environment.
