Position Overview:
We are seeking an organized and customer-focused Operations Admin to manage essential administrative tasks and serve as the welcoming face of our company. The ideal candidate thrives in a fast-paced environment, demonstrates excellent communication skills, and ensures seamless office operations.

Key Responsibilities:

Schedule sold jobs by transferring completed contracts into the production calendar, coordinating with the Operating Manager, and confirming dates with customers.
Verify job readiness before dispatch by confirming access details, site conditions, special instructions, and required prerequisites.
Submit and track 811 dig tickets when required and ensure all relevant job notes are documented correctly.
Maintain accurate job files by auditing folders for required documentation.
Enforce documentation compliance by flagging missing items immediately and following up until resolved.
Manage job closeout by reviewing completed job files for completeness and accuracy before billing is triggered.
Serve as the billing gatekeeper by notifying Finance when a job is fully complete and ready for invoicing.
Communicate clearly with customers, internal teams, and field crews to ensure jobs run smoothly and expectations are met.
Keep internal systems organized and up to date, ensuring job status is always accurate and visible to leadership.
