Job description

Job Title:   IT Project Coordinator 

Department: Information Technology  

Reports To: IT Project Manager 

FLSA: nonexempt

Grade: 7

 

Position Summary 

We are looking for a highly organized and motivated IT Project Coordinator to join our growing team. In this role, you will work closely with the IT Project Managers and cross-functional IT teams to help plan, execute, and deliver technology projects on time and within scope. This is an excellent opportunity for an emerging professional to gain hands-on experience in IT project lifecycle management, agile methodologies, and team coordination. 

Essential Functions and Responsibilities
  • Project Coordination: Work with IT Project Managers and assist in the planning and execution of IT projects, including software development, infrastructure upgrades, and system integrations. 

  • Meeting Management: Schedule and facilitate and/or assist with project meetings, capture detailed meeting minutes, and distribute action items. 

  • Documentation: Create, maintain, and update project documentation, including project charters, schedules, status reports, and process flows. 

  • Task Tracking: Monitor project progress using project management tools (e.g., Azure DevOps, MS Project/Planner, Jira) and ensure team members are updating their task statuses. 

  • Communication: Act as a liaison between the IT team and business stakeholders, ensuring clear communication of project updates, risks, and roadblocks. 

  • Risk Management: Assist in identifying potential project risks and bottlenecks and help escalate them to senior leadership when necessary. 

  • Quality Assurance: Support basic testing and QA efforts to ensure project deliverables meet the agreed-upon requirements. 

  • Other Responsibilities: Perform additional duties as assigned 

Required Education, Experience, and Skills
  • Education: Bachelor's degree in information technology, Computer Science, Business Administration, or a related field (or equivalent practical experience). 

  • Experience: 1+ years of experience in an IT, project coordination, or administrative role. 

  • Methodology Knowledge: Basic understanding of project management methodologies (Agile, Scrum, Waterfall) and the Software Development Life Cycle (SDLC). 

  • Technical Literacy: Comfortable discussing technical concepts with software developers, system administrators, and non-technical stakeholders. Familiarity with Office 365 and Microsoft Office software applications, including Excel, Word, PowerPoint and Outlook. 

  • Soft Skills: Exceptional organizational skills, strong written and verbal communication, a proactive problem-solving mindset, and an ability to manage multiple tasks, prioritize effectively, and meet deadlines. 

Preferred Education, Experience, and Skills
  • Experience using project management software (e.g., Azure DevOps, MS Project/Planner, Jira, Smartsheet). 

  • Entry-level certifications such as Certified associate in project management (CAPM), Certified ScrumMaster (CSM), or ITIL Foundations. 

  • Familiarity with data analysis or basic reporting tools (e.g., Excel/Google Sheets pivot tables).
