TITLE: TECHNOLOGY DATA AND PROGRAM SPECIALIST
QUALIFICATIONS:
- Associate's degree or higher in Information Technology, Data Management, Computer Science, Education Administration, or a related field; equivalent experience may be considered
- Minimum 2 years of experience in a technology support, data management, or systems administration role, preferably in a K-12 educational environment
- Demonstrated experience with Oncourse or a comparable Student Information System (SIS)
- Demonstrated experience with Clever or a comparable identity and application provisioning platform
- Demonstrated experience with Apple School Manager and JAMF (Pro or School) for Apple device management
- Experience setting up, configuring, and supporting end-user devices, including Windows, macOS, iOS, and Chrome OS platforms
- Strong understanding of student data privacy laws, including FERPA, COPPA, and applicable state regulations
- Exceptional attention to detail and accuracy in managing large datasets
- Strong analytical and problem-solving skills with the ability to identify and resolve data and technology discrepancies
- Ability to work independently and collaboratively, manage multiple priorities, and meet critical deadlines
- A self-starter with a customer-service mindset and the ability to work effectively on-site across multiple school buildings

Assistant Superintendent of Business
JOB GOAL: To support the effective operation of the district's educational and administrative technology systems by managing student information systems, data integrations, identity management platforms, state reporting, and end-user technology resources. The Technology Data and Program Specialist ensures the accuracy, security, and accessibility of student and staff data while providing technical support and system administration services that support teaching, learning, compliance, and district operations.
PERFORMANCE RESPONSIBILITIES:
Student Information System (Oncourse) Administration
- Serve as the district's primary administrator for the Oncourse Student Information System (SIS)
- Manage student enrollment, demographic data, scheduling, attendance, grading, and reporting configurations within Oncourse
- Create, maintain, and audit staff and student accounts, roles, and access permissions
- Perform regular data audits within OnCourse to identify and correct errors, duplicates, and missing information
- Coordinate year-end and year-start processes in OnCourse, including grade promotion, enrollment rollover, scheduling setup, and course catalog management
- Generate and distribute standard and custom reports from OnCourse for district leadership, state reporting, and compliance purposes
- Serve as the primary liaison with OnCourse technical support for troubleshooting, upgrades, and new feature implementation
- Train and support school-level staff in the proper use of OnCourse
Clever Platform Administration & Integrations
- Serve as the district's primary administrator for the Clever identity and application rostering platform
- Manage all Clever data syncs between OnCourse (SIS) and connected educational applications, ensuring accuracy and timelines
- Configure and maintain Clever-linked applications, including setting up rostering rules, grade/section filters, and access controls
- Onboard new applications to Clever, coordinating with vendors and district staff to complete data sharing agreements and integration setup
- Monitor Clever sync logs daily, identify errors or mismatches, and resolve issues in a timely manner
- Manage Clever SSO (Single Sign-On) for students and staff, including badge login configuration for elementary students
- Audit application access regularly to ensure students and staff only have access to authorized platforms
- Communicate Clever-related outages, sync delays, or access issues to affected staff and technology team members
Data Syncs, Uploads & Third-Party Platforms
- Manage all data uploads and syncs across district technology platforms, including Google Workspace, Microsoft 365, LMS platforms, assessment tools, and instructional applications
- Prepare, validate, and submit data files (CSV, SIF, API, or SFTP) to state agencies and third-party vendors as required
- Coordinate and execute data syncs between the SIS, Google Admin Console, and Microsoft
Active Directory/Azure AD to maintain accurate student and staff directory information
- Maintain a data integration inventory documenting all active syncs, upload schedules, data sources, and responsible contacts
- Develop and follow documented procedures for all recurring data tasks to ensure consistency and accuracy
- Troubleshoot failed or incomplete data transfers and implement corrective actions
- Coordinate with vendors to set up, test, and validate new data integrations prior to go-live
State & Federal Reporting
- Prepare and submit accurate and timely state and federal data reports, including NJSLEDS (or applicable state system), ESSA, Child Count, and other mandated submissions
- Work collaboratively with special services, guidance, and administration to ensure data completeness and accuracy for all reporting requirements
- Maintain knowledge of current state reporting requirements and update district data collection practices accordingly
- Reconcile discrepancies between internal records and state data portal submissions
- Maintain documentation of all state reporting submissions, timelines, and corrections
Data Privacy, Security & Compliance
- Ensure all student and staff data is handled in compliance with FERPA, COPPA, and applicable state student data privacy laws
- Review and maintain data sharing agreements (DSAs) for all third-party applications that access district student data
- Maintain a data inventory of all platforms that store or process student personally identifiable information (PII)
- Work with the Chief Technology Officer to enforce data governance policies and procedures
- Respond to and document data access requests, breaches, or privacy incidents in accordance with district policy
- Conduct periodic audits of application access and data-sharing configurations to ensure ongoing compliance
End-of-Year & Start-of-Year Data Procedures
- Lead all end-of-year data procedures, including grade promotion, enrollment archiving, account deactivation, and data cleanup
- Coordinate start-of-year readiness by ensuring all student and staff accounts are accurately provisioned across all platforms prior to the first day of school
- Manage new student onboarding data workflows and ensure prompt account creation across all relevant systems
- Coordinate with Human Resources on staff onboarding and offboarding to maintain accurate account provisioning and deprovisioning
End-User Device Setup & Apple Device Management
- Set up, configure, and deploy end-user devices, including Windows PCs, Chromebooks, iPads, and MacBooks, for students and staff
- Administer Apple School Manager (ASM), including device enrollment, app licensing (VPP), and integration with JAMF
- Administer the JAMF MDM platform for all district Apple devices, including iPads and MacBooks managing device policies, configuration profiles, app deployment, and remote management
- Enroll and supervise Apple devices through Automated Device Enrollment (ADE) via Apple
School Manager
- Deploy and update apps district-wide through JAMF and the Apple Volume Purchase Program (VPP)
- Troubleshoot Apple device issues, including MDM enrollment failures, profile conflicts, app errors, and connectivity problems
- Maintain an accurate inventory of all Apple devices, including serial numbers, assigned users, and JAMF enrollment status
- 58. Coordinate with Technology Specialists on device imaging, setup workflows, and distribution procedures for all platforms
On-Site School Support & Technology Specialist Duties
- Travel to district school buildings as needed to provide hands-on end-user support and troubleshooting
- Perform all duties of a Technology Specialist - Level 2 as needed, including help desk support, hardware repair, software installation, and device maintenance
- Serve as a point of contact for technology issues at the school level, working directly with teachers, staff, and students to resolve problems efficiently
- Support testing readiness at school sites, ensuring devices and connectivity are fully operational during assessment windows
- Assist with end-of-year device collection, reimaging, and storage at school buildings
- Assist with back-to-school device distribution and setup across all district sites
- Maintain clear communication with school administrators and the technology team regarding on-site issues and resolutions
Collaboration & Training
- Serve as a resource and trainer for school staff on data entry standards, SIS usage, and platform access procedures
- Collaborate with school counselors, secretaries, and administrators on scheduling, enrollment, and reporting workflows
- Participate in district and state-level data management meetings and professional development
- Document all data procedures, integration configurations, and system settings in a maintained knowledge base
- Other duties as assigned by the Chief Technology Officer, Assistant Superintendent of Business, or Superintendent of Schools
TERMS OF EMPLOYMENT: Twelve Months
