Job description

PROFESSIONAL SECRETARY II - 8 HRS/DAY - 10.5 MONTHS/SCHOOL YEAR

ASC (Curriculum and Instruction Department)

7:30 am - 4:00 pm

Current secretaries use the internal bidding process to apply.

All other current district employees (not a secretary), or external applicants apply online by completing the external application.

EXTERNAL APPLICANTS (will hire externally if no internal bidder): OPEN UNTIL POSITION IS FILLED 

Duties & Responsibilities:  (Essential Functions of Position, Major Responsibilities, Summary of Key Duties, Special Assignments, Relationships)

Entry Wage 2026-27; $19.64 hr Current secretaries with seniority please refer to the Wage Sections of the secretary contract.

  • Assist and support assigned curriculum specialists with staff and curriculum development in their specific areas (e.g. workshops, curriculum councils, etc.).
  • Support district initiatives and special programs by providing administrative coordination, including new initiatives as assigned.
  • Provide all necessary materials and supplies to meet their administrative functions.
  • Coordinate various activities with curricular areas, including grant management (e.g. budgets, collecting and organizing data, workshops, travel arrangements, conference rooms, contacting vendors, compiling orders, tracking receipts, etc.) to ensure availability of items and updating files.
  • Maintain inventories of department supplies and materials.
  • Perform general recordkeeping and program specific clerical functions (e.g. scheduling, copying, faxing, travel reimbursement, printing requests, tracking budgets on district mainframe, updating files, etc.) to support curriculum specialists.
  • Prepare/compose written materials/reports (e.g. yearly budget reports, assessment collection materials, flyers/bulletins, reports, letters/memos, spreadsheets/pivot tables, etc.) documenting activities, providing written reference, conveying information, and/or distributing materials.  Maintain a textbook management system.
  • Process documents and materials (e.g. requisition and receiving materials, compile data, etc.) for dissemination to all appropriate parties.
  • Respond professionally to inquiries from a variety of internal and external parties (e.g. curriculum specialists, staff, parents, students, public agencies, vendors, etc.) to provide accurate information, facilitate communications, and provide direction.
  • Maintain confidentiality in all situations when working with student and staff information.
  • Maintain knowledge of Infinite Campus student information systems, including parent support, accessing and updating student information, generating Ad Hoc reports, and providing support to curriculum staff in the use of district student data systems.
  • Coordinates large, complex printing projects
  • Coordinates and schedules transportation for district-wide field trips.
  • Coordinates and schedules interviews, ensuring all logistics are organized efficiently.
  • All other duties as assigned. 

Physical Requirements of Position:  

  • Ability to routinely lift/carry office supplies and printed materials weighing up to 25 pounds, occasionally lift up to 50 lbs.
  • Ability to hear and understand speech at normal levels in person and/or on the telephone
  • Ability to communicate so others will be able to clearly understand a normal conversation in person and /or on the telephone
  • Ability to operate computer, calculator, copy machine, telephone, and other office equipment with dexterity and in a safe and efficient manner

Special Qualifications Required:  (Personal Qualities, Education, Skills Needed, Experience, Etc.)

  • Must have a high school diploma or GED & Successful years of Secretarial experience.
  • Proficient in Microsoft Word, Excel, PowerPoint, and all aspects of Google Drive including (Sheets, Sites, Docs, Forms)
  • Demonstrate initiative by working independently with minimal supervision while effectively prioritizing multiple tasks, coordinating administrative support for district initiatives, special programs, and other assigned projects to ensure efficient implementation and successful outcomes.
  • Maintains flexibility and a cooperative attitude while working collaboratively in a team-oriented office environment.
  • Troubleshoots technology for meetings
  • Demonstrates strong attention to detail and accuracy while applying standard bookkeeping and accounting procedures.
  • Effective communication skills, expertise in written and verbal communication including correct grammar.
