Job description

Santa Rosa Golf & Beach Club is seeking a Member Billing Specialist/Accounts Receivable! This role is responsible for accurate member billing, accounts receivable management, and providing outstanding internal and member-facing service. The ideal candidate combines strong accounting skills with professionalism and discretion in a private club environment.
Key Responsibilities
The following is intended to describe the general nature and level of work being performed. It is not intended to be an exhaustive list of all duties, responsibilities, or qualifications required of the position.
Member Billing & Accounts Receivable
  • Prepare, review, and process monthly member statements, including dues, assessments, dining, golf, retail, events, and other charges
  • Ensure accuracy and timely posting of all charges and credits
  • Manage accounts receivable aging and follow up on past-due accounts in a professional and member-focused manner
  • Process member payments (ACH, credit card, checks) and maintain accurate records
  • Reconcile member accounts and resolve discrepancies promptly

Financial & Administrative Support
  • Assist with month-end closing procedures related to A/R
  • Maintain organized billing records and documentation
  • Prepare reports on aging, collections, and member billing activity
  • Coordinate with department managers (golf, food & beverage, events, retail) to ensure accurate charge capture
  • Support audits and financial reviews as needed

Member Service
  • Respond promptly and courteously to member billing inquiries
  • Research and resolve billing questions or disputes with professionalism and discretion
  • Maintain strict confidentiality of member financial information

Qualifications
  • 2+ years of accounts receivable, billing, or accounting experience (hospitality or private club experience preferred)
  • Strong understanding of accounting principles and A/R processes
  • Experience with club management or accounting software preferred
  • Proficiency in Microsoft Excel and Microsoft Office Suite
  • Excellent attention to detail and organizational skills
  • Strong written and verbal communication skills
  • Ability to handle sensitive information with discretion
  • Professional, member-service mindset

Preferred Attributes
  • Experience in a private club, hospitality, resort, or similar member-based organization
  • Ability to work independently while collaborating with cross-functional teams
  • Strong time management skills and ability to meet deadlines in a fast-paced environment
