Job description

Position

Global Energy Monitor is seeking an experienced Executive Assistant to join the Administrative team.

The Executive Assistant is responsible for providing comprehensive administrative and operational support to the Executive Director. This role helps ensure the Executive Director is well prepared, organized, and supported in managing priorities, meetings, communications, travel, and follow-up.

In service to the Office of the Executive Director, this role will provide administrative and coordination support to the broader Executive Leadership Team and Leadership Team, as capacity allows and as prioritized by the Executive Director. This role plays an important part in helping ensure smooth, efficient operations in a remote and globally distributed organization. This role will also support key flagship initiatives currently being overseen by the Executive Director such as the Open Energy Research and Analytics Consortium, with administrative and coordination support.

The Challenge

According to the Intergovernmental Panel of Climate Change (IPCC), we have less than a decade to make massive and unprecedented changes in the global economy to avoid the worst impacts of climate change. To meet that challenge,

Global Energy Monitor is creating trackers and other tools to provide detailed information on energy facilities, sponsors, and financing.

About Global Energy Monitor

Global Energy Monitor (GEM) is a global, independent nonprofit network of researchers tracking energy infrastructure worldwide, from power stations and coal mines to steel plants and shipping terminals, for the worldwide climate and clean energy movement.

Since its founding in 2007, GEM has become an essential resource for advancing a just energy transition, producing open-source data and analysis that drive transparency and informed action. Its work is widely used and cited across the climate and energy landscape, from Greenpeace and The Wall Street Journal to platforms like Bloomberg Terminals, and institutions including the International Energy Agency (IEA), IPCC, Climate Analytics, and Carbon Tracker Initiative.

GEM serves a broad community of stakeholders, including governments, financial institutions, journalists, researchers, and advocates, providing trusted, independent information that supports evidence-based decision-making and real-world impact.

Location

Preference will be given to those living in the United States, however, GEM may be able to hire employees worldwide in countries where our PEO (Deel) operates, except in countries classified as Level 3 or 4 on the

U.S. Department of State’s website. Additionally, due to regulatory and data security requirements, GEM cannot hire employees who will be working from China. GEM does not have a central office; instead, GEM works with employees to create suitable home offices catered to the needs of their role.

Responsibilities and Duties

Executive & Administrative Support

  • Manage calendars, appointments, and meeting logistics.
  • Track tasks, priorities, and follow-up items to ensure timely execution and accountability.
  • Draft, edit, and manage correspondence, reports, internal documents, and document organization systems to ensure clear communication and organized recordkeeping.

Travel Coordination

  • Makes and manages logistical and booking details related to travel, including flights, lodging, and ground transportation.
  • Provides timely solutions to unanticipated changes in travel schedules to minimize disruption.
  • Ensures all travel arrangements and related tasks are completed with exceptional accuracy and attention to detail.
  • Help the Executive Director prepare for meetings, deadlines, and internal and external engagements.

Logistics for Leadership Team and Executive Leadership Team Retreats and Events

  • Provide administrative support for team events, off-sites, and retreats.
  • Coordinate vendor communication, venues, materials, and scheduling.
  • Assist with virtual and in-person event setup and follow-up logistics.

Communication & Professionalism

  • Represent GEM professionally in interactions with external partners, Board members, vendors, and donors.
  • Maintain discretion, confidentiality, and professionalism in all communications and work products.
  • Proactively identify opportunities to streamline workflows and improve support systems.
  • Exercise sound judgment when handling sensitive information and competing priorities.

Required Qualifications

The following experience and skills are required for this position:

  • 2+ years of experience in administrative support, executive assistance, or office operations.
  • Fluency in English

Preferred Qualifications

  • Experience supporting senior leaders or executive-level staff.
  • Strong written and verbal communication skills.
  • Experience with travel coordination and event logistics.
  • Proficiency in Google Workspace, Microsoft Office, and common remote collaboration tools.
  • Excellent organizational skills, initiative, and attention to detail.
  • Capacity to apply discretion and maintain a high level of confidentiality when handling sensitive information.
  • Track record of working to advance a diverse, inclusive, and equitable work environment.
  • Experience and/or interest in energy, climate, sustainability, open data, or related fields.
  • Ability to self-direct and prioritize among different tasks in a remote work environment.

Visa Sponsorship Policy (Role Eligibility for US-Based Employees)

Visa sponsorship is not available for this position. Candidates must be authorized to work in the United States at the time of hire and must not require current or future employment-based visa sponsorship at any stage of employment.

Pay and Benefits

This is a full-time, 40-hour-per-week, work-from-home position. The pay rate is $40.27 per hour for locations in the United States.

Locations outside of the US: GEM aims to offer comparable salaries, benefits, and leave to employees living outside of the US in line with our fully transparent compensation framework. More information can be requested by contacting GEM’s People & Culture team.
