Job description

Summary of Position

The Program Coordinator is an integral member of the Sites and Infrastructure team assisting with Small Business initiatives and Community programs. The Program Coordinator provides direct support to the program managers and leaders on the team. Duties include performing various operational and project tasks, developing adequate knowledge and experience to run program processes, administrative support for program events and meetings, assisting with communications to internal and external stakeholders, acting as secondary support for other programs and areas of work administered by the rest of the Sites and Infrastructure team, and other duties/special projects as assigned.

Duties and Responsibilitiesย Small Business & Community Initiativesย 
  • Develop a strong working knowledge of the Small Business and Community Initiatives including programs policies, guidelines, and stakeholders
  • Coordinate the project process for the Vibrant Community and Planning Programs including but not limited to:
    • Project Record Reviews: Conducts thorough reviews of project records in preparation for incentive review and approval meetings while collaborating with program managers
    • Draft Offer Letters: Writes incentive offer letters to be sent to development partners, ensures letters are executed by the JobsOhio Vice President of Sites and Infrastructure, and sent to the client
    • Review Project Applications: Releases applications to companies, while assisting with any questions or issues during the application phase to ensure quick and successful submission then coordinates all approval body meetings and communicates with the appropriate team members for their role
    • Prepares Agreements: Prepares project grant agreements, coordinating the redlining process with the development partners and JobsOhio to ensure final agreements are executed in a timely manner
  • Coordinate Events: Supports the manager in coordinating Vibrant Community grand openings, small business stakeholder events, and other program activities by managing event logistics, preparing briefing materials and necessary documentation, and maintaining organized resources to ensure seamless planning and execution
  • Execute day-to-day tasks for programs within the Small Business initiatives, Community initiatives, and special projects as directed by the team; programs include but not limited to the pre-project planning program, vibrant community program, and the various small business activities (including LaunchPad, Aileron, Black Tech Week, Lightship, and Small Business Advisory Council)
  • Coordinate Small Business and Community Initiatives stakeholder relationships and ensure the smooth and timely flow of communication
  • Provide high quality and timely administrative support for the Small Business and Community Initiatives, including contract coordination, invoice coordination, planning, scheduling activities, and resolving any scheduling issues that arise. This will entail managing multiple initiatives concurrently requiring high attention to detail, collaboration, accuracy, and ability to appropriately prioritize critical tasks.
  • Coordinate and manage the small business and community campaigns within Salesforce and prepare various materials to support the team including agendas, minutes, presentations, dashboards, and reports
  • 1-3 years of prior experience in program operations and scheduling and/or project coordination/management
  • Scheduling and calendaring for programs/projects
  • Ability to maintain a professional demeanor with internal and external partners and demonstrate the highest level of service
  • Strong relationship management skills coupled with a teamwork mentality
  • Excellent organizational skills with high attention to detail
  • Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to successful completion
  • Strong decision-making and problem-solving skills
  • Adaptable, flexible, and resourceful with the ability to work effectively with little supervision
  • Forward thinker who actively seeks support opportunities, anticipates potential issues and proposes solutions
  • Ability to handle confidential information with discretion
  • Comprehensive proficiency in Microsoft Office suite
  • Previous experience with Salesforce preferred
