Position Summary:
The Administrative Specialist III for the GEAR UP program will provide essential administrative support to ensure the efficient operation of the program. This role involves managing office tasks, coordinating communications, and assisting with the implementation of program activities to support the GEAR UP objectives of increasing college readiness and success.
Essential Duties and Responsibilities:
Maintain organized records and files for the GEAR UP program, ensuring compliance with federal and university guidelines.
Manage office supplies and equipment, coordinating with vendors as necessary.
Serve as the primary point of contact for internal and external communications related to the GEAR UP program.
Coordinate meetings, workshops, and events, including scheduling, logistics, and communication with participants.
Assist in collecting and organizing data for program evaluation and reporting purposes.
Prepare and submit reports as required by the GEAR UP grant, ensuring accuracy and timeliness.
Assist with budget tracking and expense reporting, ensuring adherence to grant requirements.
Coordinate with the business office to process invoices, purchase orders, and reimbursements.
Provide administrative support for GEAR UP activities, including tutoring sessions, college visits, and family engagement events.
Assist in the preparation and distribution of program materials.
Knowledge, Skills, and Abilities:
Strong organizational and multitasking skills, with attention to detail.
Proficiency in Microsoft Office Suite and data management software.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Minimum Requirements:
High school diploma or equivalent required.
Minimum of two years of administrative/clerical experience required.
Preferred Qualifications:
Associate degree or higher preferred.
Bilingual abilities in Spanish are preferred.
Experience in an educational or nonprofit setting preferred.
Work Location, Environment, and Physical Demands:
The GEAR UP Program Administrative Specialist will be housed on the Russellville campus of Arkansas Tech University and will work with the director, GEAR UP staff, and multiple other stakeholders engaged in the grant-funded GEAR UP program to meet the goals of the program.
Some local travel may be required.
