The Assistant for Game Day Management and Operations is a part time role that supports the Intercollegiate Athletics Department through leadership and coordination of game day operations while assisting with the daily needs of the men's and women's tennis programs. This position is responsible for ensuring that all home athletic contests and related events are executed efficiently and in accordance with NCAA Division III, conference, and institutional standards. The position also assists with student-athlete engagement initiatives, special events, and community outreach efforts.

Requirements

Essential Functions:

Game Day Operationsย 

  • Lead, implement, and manage game day operations for all home athletic events in collaboration with the Director of Athletics and designated sport administrators and coaches.ย 
  • Coordinate and oversee event logistics, staffing assignments, facility setup, and operational execution for home contests throughout the academic year.ย 
  • Lead and manage concessions and admissions operations, including planning, staffing, assessment, and process improvement.
  • Develop and maintain game day operational procedures and event management plans.ย 
  • Lead weekly game day management meetings, including agenda development, meeting facilitation, and follow-up communications.ย 
  • Identify and cultivate external partnerships that generate revenue opportunities for athletic facilities and game day operations.
  • Assist with special events hosted by the Athletics Department, including tournaments, championships, and community engagement activities.

Tennis Operations Support

  • Assist with daily operations of the men's and women's tennis programs.ย 
  • Support practice and competition logistics, including court setup, equipment management, and operations.
  • Track attendance and assist in monitoring student-athlete participation and engagement.ย 
  • Serve as a point of contact for student-athlete questions and operational needs.ย 
  • Assist with team travel logistics, including equipment organization, packing, and itinerary coordination.ย 
  • Support coaches and student-athletes during off-campus competitions and team travel.ย 
  • Assist in planning and executing special events such as Senior Day, team functions, banquets, and alumni events.ย 
  • Assist with hosting and managing home tournaments and special tennis events.ย 
  • Work with the Sports Information Director to ensure match results are reported to the Intercollegiate Tennis Association (ITA) in a timely manner.

Compliance and Professional Responsibilities

  • Demonstrate professionalism and positive representation of the Athletics Department and Westminster College.ย 
  • Comply with all applicable NCAA Division III, conference, and institutional rules, regulations, and policies.ย 
  • Perform other duties as assigned by the Director of Athletics or designee.

Job Requirements:

Education: Bachelor's degree in sports management, sports administration, event planning, or related field preferred.ย 

Experience: ย ย 

  • Experience in athletics administration, event management, game operations, sport operations, or a related field preferred.ย 
  • Experience working in collegiate athletics is preferred.ย 
  • Demonstrated ability to manage multiple projects and deadlines simultaneously.ย 
  • Strong organizational, communication, and interpersonal skills.ย 
  • Ability to work independently and collaboratively in a fast-paced environment.
