Position Summary
The Project Management/Estimating Assistant’s primary responsibility is to assist Estimator(s) and Project Manager(s) with all aspects of commercial jobs from quote /submittal phase to job delivery/close-out stage.

Responsibilities:
Act as a liaison between all parties involved in a job to ensure that the job is completed to the customer's satisfaction.
  • Prepare and revise quotations under direction of Estimator and Project Manager.
  • Build submittal packages based on quotes and job plans/specifications.
  • Revise submittal packages based on engineer/owner/architect comments and requests under direction of Project Manager.
  • Manage and monitor customer orders, quotes, deliveries, job progress, etc and relay detailed information and status updates to customers.
  • Update and maintain Job Project Tracking process (utilizing existing software) for tracking all aspects of a project from quantity quote/submittal phase through delivery/O&M phase.
  • Assist Estimator and Project Manager with providing pricing, product, product substitutions, delivery, back-order and warranty information as requested.
  • Enter sales orders for projects based on approved Submittals under the direction of the Project Manager.
  • Track progress of material receipts and customer deliveries and keep job tracking software updated.
  • Build O&M packages at job close-out.
  • Source pricing from vendors/reps.
  • Read and interpret plumbing plans/drawings and specifications.
  • Maintain a consistent and positive customer service image when interacting with customers.
  • Maintain a professional attitude and appearance at all times.

Qualifications/Experience:
  • Must possess interpersonal skills necessary to effectively handle customers and vendors in a positive, service-oriented fashion.
  • Effective communication and organizational skills.
  • College degree preferred.
  • Education and/or experience in industry necessary to operate as explained above.
  • High degree of math competency and ability to maintain arithmetic and statistical accuracy.
  • Ability to set priorities and work under minimal supervision.
  • Ability to perform a variety of tasks, often changing assignments on short notice.
  • Quickly learn organization procedures and operations.
  • Proficiency with basic computer programs. (email, Excel, Word).

  • The physical demands here are representative of those that must be met to successfully perform the essential job functions with or without reasonable accommodations:
  • Sitting for extended periods of time.
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, power tools, and other computer components.
  • Ability to safely lift and handle material weighing up-to 50 pounds.
  • The performance of essential job functions for this position require both access to valuable assets and interaction with others under potentially stressful conditions.
