Job description

Job Title: Surgery Scheduler & Referral Specialist
Division: Parkside OB-GYN
Weekly Hours: Full time
Supervisor: Manager, Business Operations
Posting: Internal/External | Location: Pelham Place
Position Overview:
The Surgery Scheduler/Referral Specialist is responsible for coordinating care for patients between external providers and organizations (e.g. other physician offices, community service agencies, and hospital/emergency facilities) and for providing high quality referrals and transitions; ensuring that all involved providers, facilities, and patients have the information and resources needed to coordinate care for the patient. Establishes relationships and agreements among providers that lead to shared expectations for communication and care. Supports team members with shared tasks on a daily/weekly basis. Performs all work with accord to the vision, values, and culture of Parkside OB-GYN. These total duties will require approximately 36 hours per week.
Responsibilities:
  • Coordinates with hospital to schedule surgeries.
  • Schedules pre and post-op appointments for patients.
  • Sends outgoing referrals and diagnostic imaging orders to specialist offices and receives incoming communication regarding those orders being processed.
  • Receives, manages, and appropriately schedules patients with incoming referrals.
  • Ensures that patients are scheduled in a timely manner consistent with diagnosis and level of care needed and communicates appointment information with patient/family/caregiver.
  • Follows up with specialist offices on pending referrals to gain consult notes/medical records and coordinate continuation of care with the provider as required.
  • Assumes accountability and develops connectivity via electronic or other modes of communication to promote timely and effective information flow between providers (including community agencies).
  • Maintains accurate and up-to-date referring physician directory and provides providers with any relevant updates and changes.
  • Follows up to be sure that patients are establishing care with the referred provider.
  • Promotes excellent relationships between Parkside OB-GYN and specialty offices.
  • Analyzes, recommends, implements, and monitors approved workflow changes for procedures and protocols that will be beneficial for both internal and external parties.
  • Serves all patients, families, caregivers, external specialty offices, community, and internal team members with grace and humility.
  • Promote an authentic and transparent work environment.
  • Other duties as assigned.

Education:
  • High school diploma or equivalent.
  • Proficient in computer skills and typing.
  • At least 1 year of experience working in a medical office.
  • Working knowledge of medical terminology and interpreting physician progress notes/medical records.
  • Exceptional communication skills.

Physical Requirements:
  • Ability to sit at a computer terminal for long periods of time.
  • Ability to be in attendance at workstation during normal business hours designated for this position.
  • Ability to lift up to 20 lbs.
