Job description

Centered Mind Counseling Services is a dedicated group of counselors, psychologists, and medication management providers offering quality, compassionate mental health and behavioral health care in our community. We're looking for a friendly, caring, and organized phone receptionist and appointment scheduler who genuinely loves helping people.
As the first point of contact for our practice, you set the tone for every client's experience with us. If you've been looking for a role where warmth, organization, and care actually matter - we'd love to hear from you.
Requirements
About This Role
This is a fully remote, work-from-home, full-time position open to candidates anywhere in the United States. Our administrative hours are Monday through Friday, 8:00 AM to 5:00 PM Pacific Time, and you'll need to be available to work this schedule from a quiet, HIPAA-compliant home office.
Compensation: $37,440 to $41,600 per year ($18.00 to $20.00 per hour), depending on experience, with clear opportunities for growth as you take on more responsibility within our team.
Benefits for full-time staff:
  • Medical, dental, and vision insurance
  • 401(k) with up to 4% employer match
  • Employer-paid life insurance
  • Paid time off
  • A supportive, growth-oriented work environment
Who You Are
  • You have at least 1 year of professional phone scheduling, medical receptionist, or patient care coordinator experience - dental office, medical office, behavioral health practice, spa scheduler, salon, or similar setting where phone, email, and client contact were a major part of your day.
  • You're comfortable handling a high volume of calls on a multi-line phone system, and stay calm, warm, and professional even on a busy day.
  • You're organized, detail-oriented, and accurate, with strong time management and a system for staying on top of tasks (we'll ask you about it).
  • You're comfortable with Google Workspace (Gmail, Google Drive, Google Calendar) and learning new electronic health record (EHR) and scheduling systems.
  • You're easy to work with, eager to learn, and you take feedback well.
  • You bring integrity, professionalism, and genuine compassion for people who are navigating emotional challenges, including those affected by anxiety, ADHD, and other mental health concerns.
  • You're looking for a role you can grow with - not just a stop along the way.
What You'll Do
  • Respond to a high volume of incoming calls, emails, and texts, and schedule appointments for our providers
  • Handle new patient intake - schedule initial appointments and send out new patient paperwork through our portal
  • Maintain accurate scheduling, calendar management, and data entry in our practice systems
  • Build and maintain warm, professional relationships with clients, providers, and team members
  • Coordinate regularly between our scheduling, billing, and clinical teams to ensure clients have a seamless experience
  • Maintain HIPAA compliance and client confidentiality in all communications
What We Offer
  • A supportive, multidisciplinary, high-achieving team of providers and admin staff
  • An independent remote work environment with the structure and tools to do your job well
  • The chance to make a real difference - helping people access the care that helps them live happier, less stressful lives
  • Excellent administrative team and dedicated, supportive managers
  • Professional, respectful, and appreciative colleagues and clients
  • Real growth and learning opportunities
