We're seeking a full-time Project Coordinator to support project operations and strategic customer engagements across the Americas. This role brings structure to project setup, financial tracking, invoicing, and resource coordination while also managing select customer accounts. Key Responsibilities
Project Operations
  • Set up and maintain customer projects in PSA tools (e.g., OpenAir).
  • Manage monthly invoicing: validate timesheets, secure approvals, process charges, and submit invoices on schedule.
  • Maintain accurate resource bookings and billable/non-billable allocations.
  • Coordinate with delivery, customer success, and PM leadership on project setup and status.

Customer Project Management
  • Serve as Project Manager for assigned strategic accounts.
  • Handle task tracking, communication, status reporting, and risk/issue management.
  • Align with consultants and customer stakeholders to keep deliverables on track.
  • Prepare customer-facing reports and updates.

Process Improvement
  • Identify inefficiencies in invoicing, pipeline management, time tracking, and resource allocation.
  • Recommend and implement scalable improvements.
  • Support PMO automation initiatives and maintain SOP documentation.

Cross-Functional Coordination
  • Ensure alignment across PM, delivery, and customer success teams.
  • Escalate blockers or capacity issues with clear impact and recommendations.

What You Bring
  • Strong organizational skills and ability to manage multiple workstreams.
  • Experience with PSA or PM tools (OpenAir, Jira, etc.) and comfort with project financials.
  • Clear, professional communication with internal teams and customers.
  • Process-oriented mindset with willingness to challenge the status quo.

Preferred:
1-3 years in project coordination/PMO roles, ideally in SaaS or tech services; experience in supply chain/retail; familiarity with Confluence, Slack, and Microsoft 365.
