Description:

Van Der Hout LLP is seeking a full-time Bilingual Front Office Coordinator to be the welcoming face and voice of our practice, ensuring every client, visitor, and caller receives a warm, professional, and efficient experience. As the first point of contact, you will set the tone for the firmโ€™s client service, manage a steady flow of front desk responsibilities, and provide vital administrative support that keeps daily operations running seamlessly. This role requires someone who is highly organized, attentive to detail, and comfortable managing multiple priorities in a fast-paced legal environment. The position is full-time in-office, Monday through Friday, and offers the opportunity to work closely with attorneys, partners, and staff in a collaborative and client-focused setting.


Key Responsibilities

  • Greet visitors warmly and professionally upon arrival.
  • Answer, direct, and manage incoming calls.
  • Process and distribute incoming mail, including case noting in the case management system.
  • Maintain organizational systems to support smooth office operations, including upkeep of the physical office.
  • Communicate and coordinate with attorneys and firm partners.
  • Provide billing and general clerical support.
  • Scan and file documents accurately.
  • Order and maintain office supply inventory.
  • Coordinate catering for office lunches and events.
  • Perform other duties as assigned.


Requirements:

Qualifications

  • Fluency in Spanish and English is required.
  • Excellent phone etiquette and professional communication skills.
  • Strong data entry skills with exceptional attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Associateโ€™s degree or higher preferred.
  • One (1) year of front office or administrative experience preferred, ideally within an immigration law office.
