Description
Online Assistant Director of Academic Affairs
SUMMARY
The primary duty of this position is to assist the Online Director of Academic Affairs in overseeing all academic operations at the online division level. The Assistant Director of Academic Affairs is expected to foster and maintain a positive, cooperative, and professional learning environment for faculty, academic staff, and students. The incumbent should possess strong interpersonal skills and the ability to function effectively in a customer-focused environment. The position requires the ability to work creatively and independently while effectively assimilating, interpreting, and applying institutional policies and procedures. The successful candidate must demonstrate a high degree of technical proficiency, strong organizational skills, and the ability to communicate clearly, effectively, and professionally, both orally and in writing. Additionally, the incumbent must exercise sound judgment, maintain a high level of confidentiality, and perform all duties with accuracy, discretion, and professionalism.
RESPONSIBILITIES & DUTIES
Overseeing Academics
  1. Oversee professional development for faculty and ensure documentation for the Faculty Development plans has been collected and submitted.
  2. Provide support to the Online DOAA in weekly program head (administrator) meetings by taking and finalizing meeting minutes.
  3. Provide reports/updates on students as required including GPA and attendance reporting.
  4. Maintain a cooperative and professional online learning environment for faculty and students.
  5. Gather quarterly updates from Program Administrators and submit summaries to the Academics leadership team.
  6. Ensure end of course student surveys are conducted, as needed. Complete a detailed summary report of the surveys and distribute the report to the Academic leadership team.
  7. Facilitate Academic Policy reviews with DOAA, Program Administrators for catalog and handbooks. This may be under the guidance of the Provost and VP or Academics or the Compliance Department.
  8. Manage and Support Weekly SSC calls with Program Head leadership.
  9. Oversee and direct support for LDA and Temporary Out Reports daily/weekly.

Student Relations
  1. Assess the validity of Leave of Absence requests and obtain approval signature from Campus Director for all Leaves of Absence forms. Request schedule revisions and ensure that documentation is maintained in the Student Management System.
  2. Conduct student advising regarding SAP, attendance, program completion and overall student performance. Also conduct student advising relating to Code of Conduct violations. Ensure that documentation of meetings, coaching
  3. Oversee the mentorship program including assigning mentors for new students at the beginning of each new block, if applicable.
  4. Assist the SSCs in the Student Government Association activities, if applicable.
  5. Ensure educational student activities that support academic programs compliance requirement, community service, student groups, and general student wellbeing are held as appropriate and documentation is collected.

Reporting
  1. Assist the compliance department with accreditation and regulatory reports and responses as needed.
  2. Plan and conduct Faculty Committee Meetings with documentation (meeting minutes) shared with the compliance department.

Professional Development
  1. Develop a professional development (self-development and professional growth plan)
  2. Provide support documentation that demonstrates the professional development plan has been executed.
  3. Attend departmental meetings and required professional development/compliance related webinars.

Other duties as assigned.

Supervisory Responsibility
This position may assist the Online Director of Academic Affairs with supervisory responsibility for adjunct instructors. Although not a direct supervisor, this position will work with the Program Administrators, faculty, and Student Success Coaches.
Work Environment & Physical Requirements
It is expected that this position operates in a professional office setting. The role also involves regular engagement with team members and/or prospective students. Standard office equipment is used routinely, including-but not limited to-computers, real-time communication systems, phones, and printers. The employee must be able to:
  • Remain in a stationery or mobile position for extended periods to perform job duties.
  • Occasionally move, position, or adjust items such as files, office supplies, or equipment.
  • Maintain sufficient visual acuity to read, review, and prepare documents.

Travel
It may require occasional travel to a different campus site, off-site work-related locations such as professional development events, or campus events.
Position Type/Expected Hours of Work
This is an exempt, full-time, salaried position. This is a hybrid position. The position is scheduled for 40 hours per week. Standard business hours are Monday, Tuesday, Wednesday and Thursdays, 8:00 a.m. to 5 p.m. and Friday 8:00 a.m. to 3:00 p.m. Occasional evening and weekend work may be required as job duties demand.
Requirements: Education, Licensing, Prior Work Experience & Other
  • Education: Required: A bachelor's degree in business administration or related field. Preferred master's degree or higher.
  • Licensure: No licensure requirements.
  • Prior Work Experience: Required: Prior work experience in Higher Education. Preferred: Four years of work experience in at least one of the disciplines offered or education (teaching).

Valley College will validate education and prior work experience.

Direct Report: Online Director of Academic Affairs.
Oversight: Departmental Management
May receive collaborative direction from the Valley College Academics Leadership team to support institutional goals.
