Job description

The Role
The Multnomah Athletic Club (MAC) is seeking a Backoffice Specialist to join our Technology Team. This specialist will play a critical role in supporting the club's Technology and programming operations through administrative, analytical, and technical support.Β  This individual will serve as a subject matter expert for the Northstar club management system, ensuring reservations, programs, and member-facing information are accurate, organized, and efficient.
This position partners closely with department leaders and cross-functional teams to support daily operations, improve processes, and contribute to digital transformation initiatives that enhance the member and employee experience.
What You'll Do
  • Create and manage free and fee-based reservations, events, classes, camps, leagues, and open play activities using the Northstar club management system.
  • Organize and maintain the Northstar reservation platform to ensure a streamlined and user-friendly experience for members and staff.
  • Facilitate system updates, modifications, and maintenance requests from department managers and supervisors.
  • Maintain accurate and current programming information on the club website.
  • Review and update seasonal program guides, ensuring accuracy of dates, schedules, pricing, and program descriptions.
  • Administer program pricing updates and monthly billing processes within Northstar.
  • Create, update, and maintain automated email communications for member reservations.
  • Communicate reservation system and program updates to Concierge and other internal teams.
  • Assist with testing system enhancements, Northstar updates, pilot programs, and other technology projects.
  • Organize and maintain departmental files, documents, meeting notes, and project tracking systems.
  • Provide Northstar support and guidance to employees across multiple departments.
  • Participate in digital transformation initiatives and process improvement efforts.
  • Generate reports on program participation, reservations, attendance, and utilization metrics.
  • Investigate, document, test, and communicate Northstar system issues and resolutions in partnership with Northstar Support.
  • Complete administrative projects such as creating training materials, editing content, and developing spreadsheets and reports.
  • Coordinate member communications and reservation cancellations during inclement weather or club closures.
  • Attend required club trainings, departmental meetings, and other organizational events.
  • Perform additional duties as assigned.
What You'll Bring
  • Bachelor's degree in Business, Recreation Management, or a related field, or an equivalent combination of education, training, and experience.
  • Strong administrative, organizational, and project coordination skills with exceptional attention to detail.
  • Demonstrated ability to plan, prioritize, and manage multiple projects in a fast-paced environment.
  • Excellent analytical, problem-solving, and decision-making abilities.
  • Advanced computer proficiency, including Microsoft Office applications such as Word and Excel, and the ability to quickly learn new software systems.
  • Experience working with reservation, membership, or program management software preferred; Northstar experience is highly desirable.
  • Strong written and verbal communication skills with the ability to interact professionally with members, guests, and employees.
  • Ability to build positive working relationships across departments and collaborate effectively with diverse teams.

  • Ability to work independently while managing competing priorities and meeting deadlines.
