Description
Organizational Profile
Founded in 1991, IBJI is the largest orthopedic group practice in Illinois. With more than 150 physicians in every orthopedic specialty, IBJI offers care for adults and children from some of the most accomplished and respected orthopedists in the country. Serving northern Illinois and northwest Indiana with over 100 locations, IBJI makes it easy to access care. Our headquarters is in Park Ridge, Illinois, a northwest suburb of Chicago.
Our clinical services include advanced MRI imaging, pain management, non-surgical and surgical treatment plans, rheumatology, physical therapy, occupational therapy, wellness, and sports and sports training. Ortho Access walk-in clinics provide same day care for orthopedic injuries. Comprehensive care offered all in one place enables physicians, therapists and staff to work closely together, so that patients and families achieve better outcomes. Collaborative care is also more efficient. In many cases, IBJI services are substantially less expensive than those provided by large healthcare systems and emergency rooms.
Job Title: Legal Operations Lead
Job Description
Summary
Our Legal Department is small and high-trust, and we're looking for someone to run it day to day: the systems, the workflows, the vendor and outside counsel relationships, and the people. You'll work directly with the General Counsel and IBJI's physicians, take the lead on IBJI's renowned law clerk program, and have real room to grow the scope of this role and your impact across the organization as you make it your own.
Why You'll Want to Stay
• Room to grow - this role is built to expand in scope and impact as you take on more of the department's
operations, with a clear path to grow into a Legal Operations Manager title as you do.
• Direct access to leadership - you'll work directly with the General Counsel and IBJI's physicians, with real
visibility into how the department operates.
• A hybrid schedule - four days in-office, one day remote, based out of IBJI's beautiful new headquarters
in the heart of downtown Park Ridge.
• A headquarters built for the job - easy on-site parking, a complimentary on-site gym, and a walkable
location minutes from downtown Park Ridge restaurants and the Metra train.
• A team that invests in its people - regular team activities and a strong department culture, plus an
annual continuing education stipend to support your professional growth.
• Comprehensive benefits from day one (30+ hrs/week): medical, dental, vision, life & AD&D, short- and
long-term disability, 401(k) with company match and profit sharing, wellness program, HSA/FSA, ID
protection, and paid holidays and PTO.
Responsibilities
Legal Department Operations
  • Run the day-to-day operations of the department: workflows, document and matter management systems, budgets and invoicing, vendor and outside counsel relationships, and team coordination

Contract Management
  • Provide oversight of the contract management lifecycle program - drafting, review, execution, tracking, and renewal - and flag nonstandard terms and risk before they become problems

Real Estate Support
  • Support IBJI's in-house real estate function: conduct initial lease reviews and coordinate with the real estate broker to manage transactions end to end

Corporate Governance and Entity Management
  • Maintain corporate records and entity databases; oversee formations, qualifications, amendments, and annual filings; keep every entity in good standing

Compliance and Special Projects
  • Support legal research, policy drafting, and regulatory filings; assist with claims, litigation, subpoenas, and insurance matters; take on the special projects that come with a growing legal department

Law Clerk Program Leadership
  • Lead and oversee IBJI;s renowned law clerk program, mentoring and developing the next generation of legal talent
  • Maintain a clean and safe work environment
  • Other duties as assigned

Requirements
Requirements
Education
  • A bachelor's degree is preferred, and a law degree is a plus but not expected

Certifications/Licensure
  • A paralegal certificate is a plus but not required

Experience
  • 2+ years of experience in legal operations, office or practice management, or as a paralegal - corporate legal department, law firm, or healthcare organization preferred

Technical Skills
  • Strong command of Microsoft 365, Google Workspace, and contract- or document-management systems

Soft Skills
  • Real comfort owning matters with limited oversight - you'll be trusted to manage deadlines and competing priorities without someone checking in on every step
